- [Scott] Do you need to share the same files or folder

play00:06

with a variety of different clients?

play00:09

Well, in today's video, I'm gonna show you how to do

play00:11

exactly that right here in Google Drive.

play00:15

Hello everyone, Scott Freisen here

play00:17

at Simpletivity helping you to get more done

play00:19

and enjoy less stress.

play00:21

And I'm gonna show you exactly how I use Google Drive

play00:25

for my own business, how I can just share one single link

play00:29

with a variety of clients and make sure that they're always

play00:33

getting the most recent or most up-to-date files.

play00:36

But first, I'd like to thank today's sponsor,

play00:39

Icecream PDF Editor.

play00:41

If you're looking for an easy way to edit

play00:43

your PDF documents, you should try Icecream PDF Editor.

play00:48

It's 100% free and it will allow you to edit your text,

play00:51

edit your objects and perhaps one of my favorite features

play00:55

is rearranging and managing multiple PDF pages.

play00:59

So, if you'd like to try Icecream PDF Editor for yourself,

play01:03

be sure to click the link in the description below.

play01:06

So, let me show you exactly how I use Google Drive

play01:08

to share certain files and folders with my clients.

play01:12

First, let me give you my use case.

play01:15

I'm a speaker, at least a big portion of my business

play01:18

is speaking at conferences, giving keynotes, delivering

play01:22

workshops and so after I engage with an event planner

play01:26

or someone who's hired me,

play01:28

I wanna share particular documents with them.

play01:31

If we go back to Google Drive, I've got this folder called

play01:34

Folder for Client Resources and when I click on that,

play01:37

I've got a few things that I share

play01:39

with everyone who hires me.

play01:41

I've got things like my headshot, a few pictures here

play01:44

that they might want to include in their marketing.

play01:47

I've got my bio, which will usually be included

play01:50

in a printout or a handout or also on their website.

play01:54

And maybe a few different things that I include

play01:56

in the workshops themselves,

play01:58

some exercises that they may need to have access to,

play02:01

so that they can print them off in advance.

play02:03

Now, this collection of information, I need to share

play02:07

with a wide variety of people, but it's not exactly private.

play02:12

I really don't care if you have access to this

play02:15

or if someone else stumbles upon it.

play02:17

There's nothing secure here, there's nothing private here,

play02:21

but I don't like including this information on my website

play02:26

because I'd rather not have someone just stumble

play02:28

upon that site and say, what is this

play02:32

and what is this purpose?

play02:33

I also don't wanna manage just an extra webpage

play02:36

on my website.

play02:38

So, instead, I've created this folder here

play02:40

within Google Drive.

play02:42

Now, if we go up here to the folder name,

play02:44

we can right click and select share.

play02:47

Now, you might be familiar with this pop-up that comes here

play02:50

and probably you're used to entering in a name

play02:53

or an email address of the people

play02:55

that you want to share with.

play02:56

And of course, I could do this as well.

play02:59

I could just keep a long list, just keep adding people

play03:02

who need access to these files,

play03:05

but that's gonna be very tedious.

play03:07

I'm gonna have to come in here each and every time,

play03:09

find the email address and in many cases, I'm dealing

play03:13

with just one individual and they want to be able

play03:15

to share this with other members of their team,

play03:18

so then they need to ask for additional access

play03:21

and that type of thing.

play03:22

So, in this case, instead of entering any email addresses,

play03:25

what I'm gonna do is I'm gonna click up here

play03:27

and say get the shareable link.

play03:30

And what that's gonna do is that anyone with the link,

play03:33

this is the default option that comes up,

play03:35

anyone with the link can view.

play03:39

So, it's generated a unique link here.

play03:41

All I have to do is copy that link.

play03:45

I can copy that link, I can hit done down below.

play03:48

Now, again, you wanna make sure that it says only can view.

play03:50

We're not giving people access to edit.

play03:53

The default choice is view, so let's make sure

play03:55

that we continue with that option there.

play03:57

But I've got my link now.

play03:59

I've copied it already, I'm gonna say done and then just

play04:03

to show you what the guest or what my client will receive,

play04:07

let me open up a new incognito window here

play04:09

and I'm gonna paste that link in the window, in the URL.

play04:14

This is exactly what they will see on their end

play04:18

when they click on the link, they're gonna have access

play04:21

to these files and they can open them up, they can click

play04:24

on my bio, they can download it, they can print it out

play04:27

if they want, of course, they can't edit it,

play04:29

they can download my pictures.

play04:30

Here are all the resources that I need.

play04:34

And remember, I've just got the one link.

play04:37

This is just the one link available here.

play04:40

I just need to remember or copy this link

play04:43

and use it multiple times pretty much as how long

play04:47

I would like to, for the next coming years, if I want to.

play04:50

Now, the great thing is that whatever I do

play04:52

within this folder, it's going to automatically update

play04:56

and anyone who has access to this

play04:58

is gonna have the latest information.

play05:00

For example, maybe I no longer want this file,

play05:04

for example, available.

play05:06

I'm just gonna hit delete on that.

play05:07

I'm gonna put that in the trash can

play05:09

and maybe in the future, I'm gonna update my headshot.

play05:12

So, I don't have to go out and email a variety of people

play05:16

and say, by the way, could you please now use

play05:18

my updated headshot or can you put this in the program.

play05:22

If they have this link that I've given to them in advance,

play05:25

they're always gonna have that updated information available

play05:28

to them.

play05:29

Now, you might be saying to yourself,

play05:30

Scott, I don't wanna share that big long nasty link.

play05:34

That looks intimidating, it looks very ugly

play05:37

and yes, it is very, very long.

play05:39

Well, no, I don't recommend that you share the link

play05:41

in its natural state either.

play05:43

I'm gonna copy that link one more time, so when I'm dealing

play05:47

with a client, I might share it in the following way.

play05:50

Here I am, I'm sending an email.

play05:52

Please use the link below to access my speaker resources

play05:55

and I'm just gonna call this Scott Freisen Folder,

play05:58

something like that.

play05:59

All you need to do within Gmail or almost any other

play06:02

online editor is just highlight the text.

play06:06

I'm gonna come down here to the bottom

play06:07

and select insert link and it's here

play06:11

that I'm gonna paste in that Google Drive link.

play06:14

This is the folder that I'm gonna send them to.

play06:16

I'm gonna hit okay

play06:17

and now I've got a nice clean looking link.

play06:21

It looks straightforward, it tells them exactly what it is

play06:23

and when they click on this link,

play06:25

they can get all of my resources.

play06:28

So, do you have a need for such an open shared folder?

play06:33

Remember, I only recommend this for documents or for files

play06:37

that you really don't mind

play06:39

the rest of the world gaining access to.

play06:42

Maybe there's a particular questionnaire

play06:44

that you send out to clients.

play06:45

Maybe there's some other documents or data that you like

play06:48

to share and it's alright if other people have access to it,

play06:52

but they don't really need access to it, until they become

play06:55

a client or at some step in the relationship.

play06:59

This is a great use for this type of shared folder

play07:02

within Google Drive.

play07:04

Well, I'd love to hear from you next.

play07:07

What other tips would you like to learn how to do right here

play07:11

within Google Drive.

play07:12

play07:15

Thank you so much for watching today's video.

play07:18

I hope you subscribe right here to the Simpletivity Channel.
