play00:06

DAVE CITRON: Hi, everyone.

play00:07

My name is Dave Citron, and I'm the Director

play00:10

of Product Management for voice and video

play00:11

products in Google Workspace.

play00:13

I'm pleased to welcome you all to this breakout session

play00:15

on boosting collaboration in the hybrid workplace.

play00:18

Today, we're going to learn about a real life

play00:20

journey of a customer that has adopted

play00:22

Google Workspace for their hybrid workforce

play00:24

and the challenges and successes they found along the way.

play00:27

I'm also going to share some product updates

play00:29

on new features coming to Meet, Calendar,

play00:31

and Chat that will make a real difference for hybrid teams.

play00:35

First, I'd like to share some research that's

play00:37

helping shape how we think about hybrid work at Google.

play00:41

Working with Economist Impact, we deployed a global survey

play00:44

to assess hybrid work across more than 1,200 employees in 12

play00:47

different countries and gain some really important insights.

play00:51

First of all, more than 75% of respondents

play00:53

said hybrid or flexible work will

play00:55

be a standard practice within their organization

play00:57

in the coming three years.

play00:58

Only 24% of those respondents believed

play01:00

their organization has the right mix of policies and technology

play01:03

to make this sustainable.

play01:05

That's a big gap.

play01:06

And since research shows more than 55% of employees

play01:09

want to work remotely at least three days a week,

play01:11

we know this is something Workspace customers are

play01:13

experiencing right now.

play01:15

To better understand how our customers are working

play01:17

to overcome these challenges, I'm

play01:19

excited to welcome Nerina Martinez, Senior Technology

play01:22

Director at Iron Mountain who led their transition to Google

play01:24

Workspace.

play01:25

Marina, it's such a pleasure to have you here today.

play01:28

Thank you for your time.

play01:29

NERINA MARTINEZ: Thank you, Dave.

play01:30

Happy to be here.

play01:31

DAVE CITRON: For some background,

play01:33

can you tell us a little bit about Iron Mountain?

play01:35

NERINA MARTINEZ: Yeah, absolutely.

play01:37

So Iron Mountain is the global leader

play01:39

for storage and information management services.

play01:42

We are trusted by more than 225,000 organizations

play01:46

across the globe to protect billions of valued assets.

play01:51

And our services include information management,

play01:54

digital transformation, secure storage and destruction,

play01:58

data centers, Cloud Services, and art storage and logistics.

play02:03

DAVE CITRON: Thanks, Nerina.

play02:04

Tell us about your transition to Workspace

play02:06

and what drove that decision.

play02:08

NERINA MARTINEZ: Sure.

play02:09

So back in 2018, there was a lot of focus

play02:12

around how Iron Mountain can support

play02:14

our customers through their digital transformation

play02:17

journeys.

play02:18

And it was also a time for us to reflect internally and think

play02:21

about the culture that we wanted to create in order

play02:25

to enable this growth.

play02:26

The three areas of focus that we identified

play02:29

were real-time collaboration, anywhere, any device,

play02:32

so a platform that could be supported across all devices,

play02:36

video enablement.

play02:38

Google stood out in these areas because

play02:40

of their rate of product innovation

play02:42

and ease of use for our employees.

play02:44

But of course, all of this had to be underpinned by world

play02:47

class security and performance.

play02:49

And with Google Workspace, we were actually

play02:51

able to simplify our security stack

play02:54

because a lot of the security tools

play02:55

are already built into the platform.

play02:57

And we have more control over our users' data

play03:00

with features like DLP and Google Drive visitor sharing.

play03:05

And we went live on Google Workspace in January of 2020

play03:09

not knowing what was coming ahead.

play03:12

But it's really been an incredible journey thus far.

play03:15

DAVE CITRON: It's so great to hear how Workspace

play03:17

is helping Iron Mountain.

play03:19

As so many companies are starting to experiment

play03:21

with hybrid work, could you share

play03:22

some of the biggest hybrid pain points you've experienced

play03:24

and how Workspace has help you solve them?

play03:27

NERINA MARTINEZ: Absolutely.

play03:29

So when the pandemic first hit-- and I

play03:31

think this is probably true for many of us--

play03:33

everything was changing so quickly from day to day.

play03:36

We had our front line employees that

play03:38

were showing up on site to our facilities

play03:40

to support our customers.

play03:42

And then, we had a large percentage of our workforce

play03:45

that was transitioning to a fully remote working situation.

play03:50

And it was amazing to see how teams were coming together

play03:53

in Google Workspace to get things done.

play03:55

One of my favorite examples is, within a matter of days,

play03:59

we were able to set up a process to track and report

play04:02

on employee health, personal protective equipment, PPE,

play04:06

and facility closures by simply using Google Docs, Sheets,

play04:11

and Data Studio.

play04:13

And then, as we transitioned into more

play04:15

of a hybrid working rhythm, Google

play04:17

launched Smart Canvas for Google Drive.

play04:20

And with features like Smart Chips,

play04:22

page list docs, and action items, and these things

play04:25

might sound small, but they really

play04:27

made working together easier and more efficient

play04:30

for all of our employees.

play04:32

The third thing I'll mention was the adoption

play04:34

of video actually happened really quickly for us.

play04:37

We were not using video at all on our previous platform.

play04:41

And I think this was a really critical component in helping

play04:44

to improve our employee well-being during a time

play04:47

when many felt so isolated.

play04:49

And seeing the adoption of video,

play04:51

we used that as an opportunity to outfit

play04:54

many of our conference rooms with Google Meet hardware

play04:57

that we were able to install for about a quarter of the price

play05:00

to our previous video conferencing solution

play05:03

and with a much better user experience for our employees.

play05:07

DAVE CITRON: That's great.

play05:08

I love hearing stories of how Google Meet helps

play05:10

teams feel connected, even when they're apart.

play05:13

Could you highlight some Workspace best practices

play05:15

that have helped Iron Mountain in your hybrid work transition?

play05:18

NERINA MARTINEZ: Sure.

play05:19

So Google Chat Spaces have really

play05:22

been instrumental in changing how we work.

play05:24

So in many of the projects that I'm involved in,

play05:27

we do not use email at all to discuss the project.

play05:31

We use Spaces for everything from brainstorming

play05:34

to decision making.

play05:35

And it just really helps us all be more agile as a team.

play05:40

The second thing I'll mention is we also

play05:42

promoted the use of speedy meetings, which moved us away

play05:46

from an hour long meeting mindset

play05:49

to now averaging 31 minutes per meeting,

play05:52

which is really amazing and we're very proud of that.

play05:55

And then, finally, when Google introduced Companion Mode,

play05:58

it was a huge win for those that were heading back

play06:01

into the office because it still gave them the ability

play06:04

to contribute to the meeting as an individual

play06:07

by sharing their screen, raising their hand,

play06:10

as they did when they were at home, even though they

play06:13

were physically in a conference room.

play06:16

DAVE CITRON: Thanks so much, Nerina.

play06:18

I'm really glad to hear you're having

play06:19

success with Companion Mode.

play06:20

And we have some exciting news to share

play06:22

on Companion Mode coming up.

play06:24

It's amazing how far Iron Mountain has come.

play06:26

And your experience speaks to the fundamental challenges

play06:28

we see for many of our customers in their transition

play06:30

to hybrid work.

play06:32

And we've been working hard to solve these challenges

play06:34

associated with hybrid work.

play06:35

First, a key concern for our customers

play06:38

is that not having a successful hybrid meeting strategy

play06:40

will deter employees from going back into the office.

play06:43

So we're working hard to create a productive, in meeting room

play06:46

experience for hybrid meetings.

play06:48

Second, we see customers needing to build community

play06:51

among their hybrid workforce based on shared interests

play06:54

and authentic human connection.

play06:56

And finally, we understand that companies

play06:58

want to help workers to be more productive by providing tools

play07:01

that work together seamlessly and help them manage their time

play07:04

and attention.

play07:05

So first, let's start with hybrid friendly meetings.

play07:08

We've certainly experienced these challenges at Google.

play07:11

As we've moved into hybrid work, it

play07:12

was apparent the dynamic of having remote

play07:15

and on site meeting attendees was a step

play07:17

behind from the fully remote experience we

play07:20

had grown accustomed to.

play07:22

It was difficult to provide an authentic and inclusive

play07:24

experience for all participants.

play07:27

To help address, this we added a number of exciting innovations

play07:30

to Google Meet including Portrait Restore

play07:32

to address issues with video quality caused

play07:34

by low light, low quality webcams, or poor network

play07:36

connectivity.

play07:37

And automatic noise cancellation to filter out background noise

play07:40

so you can have conference room audio

play07:42

quality whether you're in a basement, a kitchen,

play07:44

or on the go.

play07:45

This embedded intelligence is made possible

play07:47

by Google's machine learning technologies.

play07:50

As people were returning to offices,

play07:51

we worked to solve another challenge.

play07:53

People expected the same meeting tools

play07:55

they had when working from home.

play07:57

So we introduced Companion Mode giving in-person participants

play08:00

the ability to participate in Q&A, chat,

play08:02

and also be able to easily share content from a conference room.

play08:06

On top of that, we are also enabling people

play08:08

in meeting rooms the ability to send their personal video

play08:11

tile into the meeting through their laptop.

play08:13

That way, they can show up as an individual,

play08:15

much like they would when they were remote,

play08:17

rather than a small part of the conference room tile.

play08:20

And we also recently updated our Google Meet conference room

play08:23

devices with an easy to use frame people

play08:25

button that automatically frames people in the room.

play08:28

And while this is a step in the right direction,

play08:30

we want to provide even better options

play08:32

to bridge the divide between the home office and conference

play08:35

room.

play08:36

That's why I'm so excited about the new adaptive framing

play08:38

capabilities and Google Meet rooms.

play08:41

These new framing capabilities are

play08:42

designed to better represent meeting room participants

play08:44

within the virtual meeting.

play08:46

Over the next several months, we'll

play08:47

be introducing continuous framing,

play08:49

speaker tracking, and audience reaction into Google

play08:51

Meet meeting rooms with our partners Huddly and Logitech.

play08:54

And today, I'm excited to show you how it will work.

play08:58

We've all seen when a conference room

play08:59

dials into a hybrid meeting and everyone

play09:01

is so small you can hardly tell who is speaking.

play09:04

Well, with the new speaker framing feature

play09:06

coming to Google Meet Series One hardware,

play09:08

everyone will be able to clearly see who is speaking in the room

play09:11

because the active speaker will be perfectly framed.

play09:14

Series One devices will alternate

play09:16

between active speaker view and an overview of the room.

play09:19

Both are made possible through a single Huddly camera.

play09:22

But it's not enough just to see the active speaker.

play09:24

To see a full understanding of the meeting,

play09:26

you should also see audience reaction.

play09:28

Both of these features will be supported on Series One devices

play09:31

through a three camera system.

play09:33

This system tracks and quickly switches

play09:34

between active speakers and other participants in the room

play09:37

giving the audience full context of what is happening.

play09:41

For customers using Meet on the Logitech Rally Bar or Rally Bar

play09:44

Mini, the new Logitech Sight helps remote employees

play09:48

get the best perspective in every hybrid meeting

play09:50

through AI-powered video and crystal clear audio.

play09:53

I'm lucky enough to have an early sample of Sight

play09:55

to show you today.

play09:57

This tabletop camera works hand in hand

play09:59

with a Meet-certified Rally Bar or Rally Bar Mini

play10:02

to capture and present virtual attendees with the best view

play10:05

of the meeting room action.

play10:07

In this video, you'll see how Logitech Sight uses audio video

play10:10

and AI to detect active speakers around the table

play10:13

and accurately frame the participants.

play10:15

It features two cameras, each offering 180 degrees

play10:19

to give a face forward view of all participants automatically

play10:21

cropping and framing the appropriate people.

play10:24

With Huddly and Logitech, we are working

play10:26

to bring meeting room participants front and center

play10:29

so that they can be fully represented in the meeting.

play10:32

And we're also expanding our Companion Mode capabilities

play10:35

to help in-room participants better represent themselves

play10:37

in hybrid meetings.

play10:39

Sometimes, bringing your laptop to the room

play10:40

to use Companion Mode isn't possible.

play10:42

That's why I'm so excited to bring the Companion

play10:44

Mode to mobile, and early next year to tablets,

play10:47

both Android and iOS.

play10:49

These enhancements will give you much more flexibility

play10:51

in joining Companion Mode with the device of your choice.

play10:54

Now you can just walk into a room

play10:55

and easily connect to your phone without thinking about it.

play10:58

That's certainly become the preference for me and my team.

play11:01

But equal representation in the conference room

play11:03

goes beyond good video.

play11:05

It's important for everyone on the call

play11:06

to be able to know who's in the conference room.

play11:09

For large, extended team meetings,

play11:10

we sometimes meet with people we're not familiar with.

play11:13

Today, when someone joins from the meeting room,

play11:15

it's the name of the meeting room that shows up

play11:17

rather than the people in the room.

play11:19

To solve this challenge, Google Meet hardware

play11:21

will soon allow room participants

play11:22

to check into the meeting.

play11:24

When you check into a room, your name

play11:26

will start to appear next to the room name

play11:27

and within the Meet people list so it's

play11:29

easy for remote participants to identify you on screen.

play11:33

We're bringing check-in first to Companion Mode, and next year,

play11:35

via QR code to make check-ins a regular part

play11:38

of every hybrid meeting.

play11:40

Speaking of giving meeting rooms better representation,

play11:42

we're also making it possible for Google

play11:44

Meet devices to join breakout rooms.

play11:46

Breakout rooms allow meeting organizers

play11:48

to easily split the meeting into smaller groups for small group

play11:51

or topic-based discussions, or to help increase engagement

play11:54

and creativity within the meeting.

play11:56

Now, meeting rooms can easily join those breakout rooms,

play11:59

extending this powerful meeting tool

play12:01

to work whether participants are fully remote or in the office.

play12:05

Next, let's talk about community and connection.

play12:07

Even with all these hybrid friendly meeting improvements,

play12:10

the answer isn't always just another meeting.

play12:12

As Nerina mentioned, hybrid workers

play12:14

want to connect and collaborate at the times that

play12:17

work best for them.

play12:18

That's why some recent enhancements

play12:20

for Spaces in Google Chat have made

play12:21

a real difference for my team.

play12:23

Spaces give teams a place for topic-based collaboration

play12:26

inside of Google Chat with powerful integration

play12:29

with other Workspace tools like Drive, Tasks, Docs, Sheets,

play12:32

and Slides.

play12:34

The ability to search discover and join Spaces

play12:36

has made it possible to connect with other teams

play12:38

and find answers anywhere within your organization, not just

play12:41

within the existing workgroups.

play12:43

Of course, whenever teams are working

play12:45

on something confidential, it's easy to keep Spaces private

play12:47

and invite only.

play12:49

Previously, Spaces worked really well

play12:51

for small to medium project teams.

play12:53

But now that an individual space can support up

play12:55

to 8,000 members, we're seeing new communities and connections

play12:58

merge all across Google.

play13:02

And the new threaded conversation model

play13:04

announced earlier this year and coming soon to all Workspace

play13:06

users lets people have deep conversations

play13:08

on specific topics without interrupting

play13:11

the overall flow of the conversation within the space.

play13:14

Whether your interest is fitness, travel, pets,

play13:16

or yes, tacos, Spaces enable you to create a place

play13:20

to connect with others.

play13:21

And new custom emoji make the conversation

play13:23

more personal and expressive.

play13:25

But large spaces aren't just for fun.

play13:27

For example, you can set up a space

play13:29

to communicate with your front line workforce.

play13:31

And early next year, we're enabling organizations

play13:33

to create broadcast only Spaces for announcements and updates.

play13:37

Finally, we're continuing to add new features to Spaces

play13:40

that ensure that conversation stays healthy, safe,

play13:42

and inclusive.

play13:44

The ability to establish additional space managers,

play13:46

released earlier this year, lets you scale the moderation

play13:49

responsibilities across multiple members of a community.

play13:52

Space managers can post public guidelines

play13:54

that establish clear standards of conduct

play13:56

for a given community and delete inappropriate content whenever

play14:00

they find it.

play14:01

Early next year, we're enabling individual users

play14:04

to flag messages that violate community

play14:06

standards and a back-end reporting view in the Workspace

play14:08

Console.

play14:10

With this range of new and existing features,

play14:12

I'm excited for the vibrant inclusive communities

play14:14

that will become possible for Workspace users.

play14:18

Now, let's shift gears and talk about productivity and focus.

play14:22

While staying connected is important,

play14:23

it's imperative to find focus and efficiency so that you

play14:26

can stay productive and be your best self,

play14:28

both at work and at home.

play14:31

Smart Canvas has transformed how people collaborate

play14:33

through a flexible, intelligent Canvas that collapses

play14:35

boundaries between apps.

play14:37

Smart chips, building blocks, and templates

play14:40

speed content creation and provide you

play14:42

with rich information from a variety of sources

play14:44

directly in your dock, which eliminates context switching

play14:47

and helps you be more efficient and focused.

play14:50

Today, we're excited to announce three new Smart Canvas

play14:52

innovations, including third party smart chips, which

play14:55

bring rich data from non-work Workspace apps

play14:57

directly into your dock.

play14:59

Custom building blocks, which allow organizations

play15:01

to easily create their own building

play15:03

blocks for anyone in their organization.

play15:05

And finally, Smart Canvas is coming

play15:07

to Sheets, which will allow users to insert people

play15:09

and document chips directly into Sheets making

play15:11

it even easier to keep data in sync

play15:13

across your Workspace users.

play15:15

When it comes to time management,

play15:17

I love hearing how Iron Mountain reduced their average meeting

play15:20

time from one hour to 31 minutes using Speedy Meetings

play15:22

and Calendar.

play15:23

That's a big win.

play15:25

On my team, we use some additional tools in Calendar

play15:27

to better communicate our availability and working hours

play15:30

and to protect our ability to focus on deep work.

play15:33

As a team, we've agreed to share working time

play15:35

and locations in Calendar.

play15:37

This helps set expectations with coworkers about availability

play15:39

and working hours.

play15:41

It's easy to set up as an ongoing schedule,

play15:43

and then, only update it when you need to make a change.

play15:46

We use this information to coordinate time together

play15:48

in our physical office.

play15:50

No more showing up for your in-office days

play15:52

and being the only one there.

play15:54

It helps us respect work-life balance of our teammates,

play15:56

and especially in different time zones.

play16:00

For me personally, the ability to carve out

play16:01

dedicated focus time has been huge.

play16:04

I reserve a couple of blocks of focus time each day.

play16:06

These repeat every week on the specific days

play16:08

I select and I can set them to automatically

play16:10

decline new meeting requests and to set my status

play16:13

to Do Not Disturb.

play16:15

I encourage my team to do this as well.

play16:17

And we found that having specific time set for deep work

play16:20

helps us show up and be more present when

play16:21

we're connecting in real time.

play16:24

Time Insights is also another useful feature

play16:27

to explore how investing my time at work.

play16:29

Time Insights shows a breakdown of your working hours

play16:31

based on event type, time spent in meetings,

play16:33

and who you're regularly meeting with.

play16:36

I check in a regular basis to make

play16:37

sure I'm spending comparable amounts of one

play16:39

on one time with all of my direct reports,

play16:41

not just folks who ping me all the time.

play16:44

This has helped me ensure that my team

play16:46

culture is more inclusive and every voice is getting heard.

play16:49

With that, I want to express a huge Thanks to Nerina Martinez.

play16:53

The Workspace team is proud to be a part of Iron Mountain's

play16:56

hybrid journey.

play16:58

Workspace is the best way for people and teams

play17:00

to connect, create, and get things

play17:01

done in the hybrid workplace.

play17:03

I'm excited about our announcements today

play17:05

and we'll share more as we continue

play17:07

to innovate for hybrid.

play17:09

To learn more about how Workspace

play17:10

can help your organization make this journey,

play17:12

download our handbook, which we've just

play17:14

updated to reflect our newest insights and recommendations.

play17:17

Thank you so much for joining us today

play17:18

and enjoy the rest of Next 2022.
