one place but it still serves as a shiny
dopamine button sitting on your project

screen if you're using notion you most
likely care about being productive or
self-improvement or I don't know getting
more out of life and to do this you kind

dopamine-inducing distractions are
covering up your notion dashboard it's
taking you away from doing the important
tasks that need to be done okay line

week no it's not I hate this this is not
a good way to plan your week to be fair
a lot of these kinds of videos are
fairly old and they're actually a really
good introduction to using notion so no
hate whatsoever and I do think they're
perfect for but new notion users as
notion can be really overwhelming
however this is not effective if you
want to get the most out of notion as
you're missing out on using it to its
full capabilities and you're wasting a
lot of your precious time now I'm scared
to recommend a BL and end-all solution
to this problem I have a ton of free
templates utilizing different setups you
can download them for free Link in the
description however I know I don't want
to say you know this one solution is
going to work for everyone there's a
bunch of different ones and it's really
about finding what works for you but
even if you're building a page from
scratch and not downloading a template
you need to learn about the power of
databases they can be tricky to
understand I totally get that they're
very weird and confusing at first
there's so many properties and and it
it's confusing I get it but they can be
extremely extremely powerful so I'm just
going to show you a quick example of a
database and how to set it up to work as
your to-do list and a project management
system here
is the classic column that you've
probably seen a million times Monday
walk dog and we have that a few times
so this setup is obviously not very good
this is yeah the stock standard that
everyone starts with but it's just not
an effective way to get the most out of
this program the way to do that is by
understanding databases so I'm going to
go through it fairly slowly and just
kind of explain everything that I'm
doing now the first thing that you want
is just a database so what we're going
to do is forward slash and then you're
going to write dat and then you're going
to get up a bunch of different databases
now if you click on this one it will
create a brand new one if you create a
press on table view then you're actually
going to get a few uh options of other
databases that you've previously built
we'll just press table view now what
we're going to do is say new database so
here I'm just going to write uh let's
call this task list I'm going to call it
two because I probably got a few called
task list so in this place I'm going to
write all my different tasks so let's
just say write assignment okay here's a
few tasks so now what we want to do is
make sure that these are connected to an
over overall project or an overall life
category so to do that we're going to
now create another database I understand
it's already getting confusing however
you'll see how this plays into the
bigger picture of you staying organized
and seeing your progress in every area
of your life so most likely you actually
have a few different areas in your life
and it's very difficult to juggle
everything at once you might have a side
hustle you know you're studying you
you've got a job you I don't know you're
working on your Fitness you're trying to
fit in hanging out with your friends and
stuff at some point so there's just a
bunch of stuff to do so obviously very
overwhelming there's always something to
do so here we're going to write project
here are the different life buckets
let's call it that so uh what were the
ones I said I said studying now this bit
can get tricky so just uh just hold on
and listen up I'll walk through it
slowly okay so we'll press the plus here
properties there's a bunch of different
properties here as you can see what we
want to do is we want to tell this
database to connect to this database and
we're going to do that through a
relation so if we press on relation here
it's going to ask us which database do
you want to connect to so I'm just going
to write here projects
as you can see it comes up here so I'm
just going to add relation now as you
can see right assignment is actually
connected to
studying can walk the dog might be
connected to Fitness

let's say actually it doesn't fit into
any of these this is my side hustle so
what I'll do is I'll either write in
here to create a new one
so I'll do that I could write side
hustle and create new or I could write
it in here and then it will come up so
I'll just press that as you can see side
hustle has been created there's a few
different reasons we do this but the
main one is when we work on a task we
want to switch to a new task that's in
the same kind of area or life bucket
it's going to be very overwhelming and
cognitively draining for you like it's
going to be very tiring for your brain
to go from okay now I'm going to write
an assignment for my studies and now I'm
going to edit a video and now I'm going
to go back and read some emails for work
and then I'm going to go back and answer
comments on the notion video and then
I'm going to switching back and forth
between different projects is really
really overwhelming once you start doing
lists like this
and you have different areas in your
life so if you have more than three
tasks in your day seeing a long list of
you know 50 tasks that you have to do
will be even more overwhelming and you
look at this list and you go oh my God
where do I even start I don't know what
to do there's so many things here uh
should I okay maybe I'll just do this no
wait okay I'll go back and first do this
wait what's the best most efficient I
guess I can have time for this and this
is how most people work and it's very uh
very stressful honestly the the best way
to do it is to categorize and batch as
many tasks as you can together now that
we have different projects and different
areas in our life what we're going to do
is we're going to in this table here I'm
going to rename this one to studying now
we're going to use a filter so a filter
here we're going to create a few of
these but I'll show you how you can just
duplicate to make this easier for you
with a filter we only want to see stuff
relating to study where projects
contains studying as you can see now all
of the others are hidden at the moment
so they're still there they're just
hidden from this view now we only see
these tasks so what we're going to do
now is studying duplicate and now what
was another one we had Fitness now
Fitness we're going to just change the
filter projects contains
and then we're going to get rid of
studying so it's that easy and we'll
just do that for all of them now as I
was working on this as you can see it
became too many tabs so I can't see it
anymore so what we're going to do is
we're just going to go to the top here
and then press on full width and now it
takes up the entire screen
okay now that we've done this and
organized our life into different
categories when we sit down and we have
a few hours to study we can now see here
are the different things that I have to
do within study and this really helps
whether okay let's say you're doing
you've got your side hustle making
notion videos doing client work whatever
it is you're not switching back and
forth between random tasks I only want
to see stuff that I haven't done
obviously right what we're going to do
is try to fix this uh kind of the layout
for this so first I'm just going to move
project studying here uh I want this to
be as small as possible the name is the
task we want to see a complete so we can
do it either like this as a tag
which we could make green
or we could have a checklist
which is simply change the type to a
checkbox and then you have a check and
uncheck then what we could do is add
another filter to this we don't want to
see tasks that have been completed
because obviously it will end up being a
very long list of stuff that we've done
and uh we will still want to see that
maybe you know go back so it's not
deleted that's why we're not deleting
them we're just ticking them off and
then removing them from The View so
we'll hit add filter add another rule
where complete is
unchecked so I'll show you an example if
I press plus here now it will
automatically get tagged with studying
because I'm under the studying tab which
is also super useful so if you get a
task read over assignment now once I hit
complete as you can see it's removed
from this so you're only seeing tasks
that haven't been done now I understand
you might want to go back and see tasks
that you've already done so what we'll
do is we'll just duplicate this last one
and then we're going to change this to
completed tasks now in this completed
tasks we're going to change the rule
this web project we want to see all
projects so where complete is checked so
now as you can see I can only see all of
the tasks that I completed here we have
all of the different tabs in my Lane now
how am I going to plan out my week
you're thinking here I can see what I'm
doing every single day
again as we mentioned this gets very
confusing we want to see the same
password now as a calendar view oh we're
going to write forward slash cow now

now is Select this database we want the
same database so in this list here
you'll find it or you can search it
comes up here first for me so I'll just
press that now here you can see okay
it's the same view so what we're going
to do is press on this here and change
the layout no longer from table we want

of my tasks that's because they don't
have a date so there's a few ways to go
about this let's create a new one let's
say Fitness right
go for a run so I'm just creating myself
a task here I haven't completed it now
one thing we want to do is make sure
that we don't have a filter on this
calendar so as you can see here there is
a filter so we're just going to delete
filter now this is only deleting it from
this view it's not deleting it from all
the others another thing we can do is
just remove this uh this name here so or
to hide it sorry so we can just press on
these three dots then press layout and
then press show database title what day
should I go for a run next week well
looking up my calendar is pretty uh
pretty open next week so let's click
here and say I'll do it on the tip so as
you can see it's still here in the list
because I don't have a filter here
that's telling me to hide tasks that
have a date connected to them but if you
scroll up as you can see here I have go
for a run so already this view which I'm
just going to delete this view is now
letting me see all the tasks that I have
that day now as you can see it's a
pretty easy day we only have one task so
maybe we want to say okay I should do
some work stuff that day and I should do
that on the 10th as well and friends
let's say I want to hang out with a
friend watch notion setups with friends
let's say you're going to do that on
Wednesday instead of pressing here and
selecting the 10 what we can do is we
can actually drag her so we're just
going to drag it to this day now it gets
added here but as you can see it doesn't
get removed here so this is also a
really useful way to work so now what
you're doing is instead of creating in
you know a columns every single week
working with columns where you only see
your current week you can actually see
your entire month now some people don't
like seeing their entire month and you
only want to see what you're doing this
week which is also fine what we can do
is press up here click on layout show
calendar as
change it to week so now we can just see
the week instead of the full month and
then you can scroll through like this I
hope this is helpful I think this is a
much better way to work as you can see
it's a very boring uh notion setup at
the moment however my setup is very
similar it it's a lot more fleshed out
than this to be honest
um however it it looks very boring and
the reason for that is all the stuff
that I talked about at the start you
don't want to be overwhelmed or
distracted when you open your notion
when you open your notion you want to
know exactly what am I doing today and
do I have all the resources that I need
in order to do that today this setup
will help you work more efficiently and
that can mean one of two things you can
either work less because you're doing
stuff faster and getting more stuff done
which means you can just you know do
whatever you want with that extra spare
time or if you're getting more done in
that same period of time you can just
add more tasks to your list I think a
setup like this will really help no
widgets no distractions just a focused
