📝 Task Management and Note Integration

The paragraph discusses the limitations of popular task managers like Todoist and TickTick in integrating notes with tasks. It introduces AmpleNote as a superior tool that combines notes, tasks, and calendar in one place. AmpleNote allows users to create tasks directly from notes, which then appear in the task list and can be scheduled on the calendar. This feature is lacking in Todoist, where notes are only added as task descriptions, and TickTick, which allows note creation but not easy task conversion.

05:01

📅 Enhancing Productivity with Calendar Integration

This section emphasizes the importance of integrating tasks with a calendar for effective time management. While Todoist offers a chronological view, it lacks a true calendar experience, and TickTick requires a premium subscription for full calendar functionality. AmpleNote, however, provides a seamless calendar integration, enabling users to drag and drop tasks onto the calendar, set time estimates, and adjust task details directly from the calendar view. This feature enhances productivity by allowing users to visualize their tasks alongside other events.

10:01

🔍 Prioritizing Tasks with Task Score

The paragraph highlights the challenge of task prioritization in Todoist and TickTick, where simple priority levels might not be sufficient for decision-making. AmpleNote introduces a 'task score' feature that dynamically calculates the importance and urgency of tasks based on multiple factors, such as creation date, importance, and urgency. This score helps users determine the next tasks to tackle, providing a more nuanced approach to prioritization than traditional priority flags.

🚫 Minimizing Distractions with Task Hiding

The final paragraph addresses the issue of task visibility and distraction, particularly for tasks that are not immediately relevant. AmpleNote offers a solution by allowing users to hide tasks until a specified future date, effectively decluttering the workspace and maintaining focus on current priorities. This feature is absent in Todoist, which lacks a mechanism to hide non-urgent tasks, potentially leading to distraction.

Transcripts

play00:00

- There seems to be a constant debate

play00:02

as to which is the better Task Manager.

play00:05

Todoist or TickTick.

play00:07

And while both of these apps are great,

play00:09

in this video,

play00:10

I'm going to show you a tool that does four things better

play00:13

than both of those apps.

play00:15

And best of all, it's free.

play00:18

Number one,

play00:18

let's take a look at the relationship between our notes

play00:22

and our tasks.

play00:24

For most of us, our tasks are generated from our notes.

play00:28

Either we are doing a brainstorming session

play00:31

or perhaps we're taking notes during a meeting

play00:34

and then we're generating our tasks and our to-dos

play00:37

from that collection of notes.

play00:40

But most of our task managers are not built around notes.

play00:44

Here within Todoist, the best that we can do

play00:47

is add a note within the description,

play00:49

but that's within the description of the task

play00:52

that actually seems kind of backward

play00:54

because chances are we are taking those notes first.

play00:57

This might force you to use another tool such as Evernote

play01:01

or Google Keep or some other scratch pad

play01:04

off of the side of your desk,

play01:06

and then converting it to a task.

play01:08

Now over in TickTick, they've gone one step further

play01:12

and they've given us the ability to create lists.

play01:14

And in this case, we can create things such as notes.

play01:17

Here I've created something titled a new note

play01:20

and I've jotted down some bullet points

play01:22

but that's essentially it.

play01:24

I can't quickly

play01:25

and easily convert anything here into a task.

play01:29

Now, I could come up here

play01:30

and set a reminder for the entire note

play01:33

but chances are there's only a few items

play01:36

or pieces of key information that I actually want to convert

play01:39

into a task.

play01:41

But here within AmpleNote,

play01:42

we have access to all of our notes, tasks, and calendar

play01:47

all in one centralized place.

play01:49

And best of all, there is a direct relationship

play01:52

between all three of these components.

play01:55

For example, I was taking down some quick notes,

play01:58

some quick thoughts earlier today.

play02:00

Here you can see

play02:01

I've got a few different bullet points here,

play02:03

and then I decided to add a task directly within my note.

play02:08

Now the best thing is that this task

play02:10

is not going to reside only here within my note area.

play02:15

If I switch over to my tasks, here you can see that

play02:18

research a new training to attend

play02:21

is now with all of my other tasks,

play02:23

which may be a combination of tasks that I've created

play02:26

as a one-off or tasks which I've created within other notes.

play02:31

So in this case, it follows a much more natural progression

play02:35

from brainstorming or note taking.

play02:37

And then if I do want to convert this, for example

play02:40

into a task, all I need to do is highlight it

play02:43

and suddenly it has become a task

play02:46

which I will now see on my task list

play02:48

and which I can now pull over onto my calendar as well.

play02:53

Number two, adding tasks directly to your calendar.

play02:57

Now, I've talked about time blocking and time batching

play03:01

for a long, long time

play03:03

and the importance of giving a time estimate

play03:06

and making sure that you're able to accomplish

play03:09

what you set out to do.

play03:10

And if you only keep your tasks in a list format,

play03:14

that is very, very difficult.

play03:16

You want to be able to see it in the context

play03:18

of all of your other meetings and all of your other events.

play03:22

Here within Todoist,

play03:24

we can view sort of a chronological view of all of our tasks

play03:28

but this isn't really a true calendar.

play03:31

Yes, Todoist does allow us to integrate

play03:34

and has an extension for other calendars,

play03:37

but there's certain pieces of functionality

play03:39

that you just can't do outside of Todoist.

play03:42

So you're going to find yourself going back and forth.

play03:45

TickTick on the other hand, does have a calendar view.

play03:49

However, you do need to upgrade to their premium version

play03:53

in order to make use of it.

play03:55

But here within AmpleNote,

play03:56

not only do we have direct access

play03:59

to our calendar and can easily toggle back and forth

play04:02

but we can drag and drop

play04:05

any of our tasks here on the right hand side

play04:08

directly onto our calendar so we can see the relationship

play04:13

between other things that are going on and the other tasks

play04:17

which perhaps we've dragged onto our day already.

play04:20

So for example here on the right hand side,

play04:23

I want to send out this invitation.

play04:25

I'm just going to drag it over and put it here for 10:00 AM.

play04:30

Meanwhile, maybe I'm going to drag this recording a podcast

play04:33

and put it over for tomorrow at 11:00 AM.

play04:37

So already I'm being that much more actionable

play04:40

as I put tasks directly on my calendar.

play04:43

Now you'll notice that the two tasks

play04:45

which I just added have different lengths,

play04:48

and that's because I set that up ahead of time.

play04:51

When I created those tasks, I gave them a time estimate

play04:55

so when I pull them onto my calendar, that stays with it.

play04:59

I don't need to recreate it

play05:01

or give it some type of default value,

play05:03

which you sometimes find with other calendar

play05:06

or to-do list extensions.

play05:08

Of course, if I want to change the details

play05:11

of any of my tasks, all I need to do

play05:13

is select it and I'll have access to everything here

play05:16

on the right-hand side, including changing the duration,

play05:20

choosing the ability to give it a custom reminder

play05:23

or adding any other details that I like.

play05:26

But I can also do that directly from my calendar.

play05:29

Maybe I know it's going to take me about two hours

play05:31

to record this podcast episode.

play05:34

All I need to do is drag it over like that

play05:36

and everything is set.

play05:38

As you've heard me teach before, I can't emphasize enough

play05:42

how valuable it is having your to-dos

play05:45

on the exact same screen as your calendar.

play05:48

Think of the following scenario.

play05:49

You've already planned out

play05:51

what your most important tasks are.

play05:53

Now you can plan out your entire week in advance

play05:57

making sure that you're making the best use of your time

play06:00

and all you need to do is drag and drop those tasks

play06:03

in the appropriate place on your calendar.

play06:06

Now speaking of deciding what's most important

play06:10

and what you should do next, let's take a look at priority.

play06:14

Now, of course, the ability to set the priority

play06:17

for your tasks is a basic feature of any task manager.

play06:22

Here within Todoist, we can come over here

play06:24

and select one of a number of different priority levels.

play06:28

So if red is high urgency priority level number one

play06:32

then maybe I'm going to set this

play06:33

to priority level number two

play06:35

and you can see the different color shading here.

play06:38

This also gives me the ability to filter

play06:40

or sort by these different options as well.

play06:43

Within TickTick,

play06:44

almost the exact same rules apply where I can quickly

play06:47

and easily set a number of different priority levels

play06:51

for any of the tasks which I've created.

play06:53

But just having a simple priority level is often not enough.

play06:58

How often have you applied the highest priority

play07:01

to dozens of your tasks?

play07:04

Now, which one should you tackle first?

play07:07

Well, here within AmpleNote

play07:08

they've created something called a task score

play07:11

which can be a great way when you're determining

play07:14

which of the next three, four

play07:16

or 10 tasks you should embark on next.

play07:19

And the great thing is, is that it's dynamic

play07:22

based on a variety of different factors,

play07:25

not just the length of time or due date,

play07:28

but also if it's important or urgent.

play07:31

Here's a task I created quite recently

play07:33

so it only has a task score of one.

play07:36

However, if I say that it's important

play07:39

suddenly that task score increases.

play07:41

If I say that it's urgent as well,

play07:44

well that task score jumps up as well.

play07:47

And if I base it on the start date,

play07:49

or how long it's going to take,

play07:51

that task score will continue to change.

play07:54

But if I scroll down here and let's say open up this task

play07:57

you can see that it has a task score of 12.5.

play08:01

What are the differences here?

play08:03

Well, it's also looking as to when I created this task

play08:08

which I think is really valuable.

play08:10

It's taking into account and assuming

play08:13

that I've been meaning to do something with this

play08:15

for a very long time,

play08:17

even though I have not given it a start date,

play08:20

even though I haven't chosen it as important or urgent,

play08:24

maybe this is something I need to revisit next.

play08:27

And best of all, that task score translates

play08:30

to other parts of AmpleNote.

play08:32

Here we are back in the calendar view

play08:34

where I have a number of my tasks

play08:37

listed on the right hand side

play08:39

and I've chosen to sort it by task score.

play08:42

So you can see these first three are red,

play08:45

the next one is yellow, then a number of blues

play08:48

and then a few that may not have

play08:49

a very high task score at all.

play08:52

Now I can identify which ones should I be looking at next,

play08:56

or which ones do I need to revise.

play08:58

Maybe the due date has changed,

play09:00

maybe something else has changed and I can edit that task.

play09:04

But this gives me so much more and better information

play09:08

than simply adding my own flags and my own priority level.

play09:12

And even though tasks

play09:13

with the same color may look very similar

play09:17

I don't even have to dive into them to know

play09:19

that this one has a higher task score

play09:22

than the one down below.

play09:24

So I can be more efficient

play09:26

and quickly make better decisions

play09:28

when it comes to planning my day.

play09:30

Next, let's take a look at something

play09:32

that continues to distract us

play09:34

whenever you are working with your to-do list.

play09:37

And that has to do with constantly seeing tasks

play09:41

or things that you don't need to engage with

play09:44

for some time in the future.

play09:46

Here within my Todoist account,

play09:48

I have a task that says it's very important

play09:50

but I don't really need to think about this

play09:52

for another six to nine months.

play09:55

However, there's no real great way

play09:57

for me to hide or minimize this task.

play10:01

It's always going to be visible to me

play10:03

and often very distracting.

play10:05

What if there was a way

play10:07

in which I could hide my tasks until I want to see them?

play10:10

Well hear within AmpleNote,

play10:12

we can do that for any single task.

play10:15

It may look like I have a very long list of tasks here

play10:19

but there's perhaps a number of things

play10:21

that I don't need to think about

play10:23

and therefore I don't even want to see it

play10:25

until sometime in the future.

play10:27

So here on the right hand side

play10:29

you can see that every single task has a little icon

play10:33

which allows me to hide until sometime in the future.

play10:37

So let's say,

play10:38

I don't want to engage with this for another week.

play10:41

Well, I don't want to see this.

play10:43

I don't want to see it in my calendar view,

play10:45

so I accidentally drag it onto this week.

play10:48

I don't want to see it here

play10:50

as I'm analyzing or grouping my other tasks together.

play10:53

I'm going to say one week and now it's gone.

play10:57

It's vanished.

play10:57

It's almost like hitting the snooze button.

play11:00

It will return in its normal state exactly at that time.

play11:04

Now, of course, at any time

play11:06

we can always choose and change our filtered settings

play11:09

and we can choose to show our hidden tasks

play11:12

if we want to go back

play11:13

and see what is waiting for us in the future.

play11:16

But this feature alone is a fantastic way

play11:19

to keep our focus and also keep us distraction free

play11:24

as we strive to be more efficient

play11:26

and more time effective with all of our to-dos.

play11:29

So if you'd like a more effective way to bring your notes,

play11:32

tasks and calendar all together in one place,

play11:36

and take advantage of all of the features

play11:38

which I showed you today absolutely free,
