in this video I'll share with you how I
set up the perra structure in one note
for those of you who are not familiar
with perah it's a personal Knowledge
Management framework that Thiago Forte
developed as part of his building a
second brain in the past year I've tried
out all kinds of productivity tools and
techniques but if I had to pick the one
that's really moved the needle for me
it's got to be the par method it's
actually reshaped how I collect and use
information in a very meaningful
way
parah stands for projects areas
resources and archives I'm not going to
get into the details in this video but I
will give you a high level overview
projects are anything that we're
currently working on that has multiple
action steps towards a specific outcome
and has a deadline or an end date for
example developing a new business
process building a website conducting
market research planning a vacation
organizing a wedding each of these
examples require multiple actions to
complete have a specific outcome or
deliverable and they are temporary and
town bound activities meaning they will
end at some point areas these are where
we have responsibilities that require
ongoing maintenance your health your
career family finance car maintenance
Home Maintenance these all fall on their
area resources things we're interested
in or useful references that may or may
not be immediately actionable I think of
this as my personal curated internet for
example video editing tips YouTube best
practices career tips photography
techniques cooking recipes and templates
and framework that I often use at work
all fall under resources think of
archives as our digital Banker boxes
stored in our attic or basement they
contain all our inactive notes and
documents and it keeps our active
notebooks clutter free free while
preserving the information that we might
need later for a deep dive into parah
check out Thiago Forte's videos and his
books building a second brain and the
par method links are in the description
below all right now that we've covered
the basics it's time to get Hands-On and
actually set up the par structure in
OneNote although perah is designed to
work in any platform in my experience
OneNote straightforward organization is
exceptionally well suited for
implementing this method I'll be using
the most recent OneNote app for Windows
but regardless of the version you're
using you should be able to follow
along i' suggest starting fresh with new
OneNote notebooks dedicated solely to
your par setup here's a glimpse of my
setup as you can see I created a
separate notebook for each of the par
component one set for work and another
set for home depending on your work
situation you may only need one set but
for me because my work notes are saved
in my organiz ation SharePoint I prefer
to keep my personal notes separate so if
I were to expand each of the component
you can see the different sections that
I've created within each if you prefer
not to have multiple notebooks for your
par components you can actually just
have a single notebook and have your par
components set up as a a section group
if you're not familiar with Section
groups I advise you to click on the link
above to watch the video on one not
organizational structure but really in
any notebook you can right Mouse click
on top section here and choose section
group and just name it so I'll create
one for projects another section group
for areas another one for resources so
on and so forth now if you click into
any of the section groups you can now
add individual
sections and you can return back to the
parent section group so this is another
way that you can set up your par
structure personally I prefer to have it
in separate notebooks but if you want to
have the par components in one notebook
and if that's easier for you to manage
you have a
choice creating a new notebook is
straightforward all you have to do is go
to
file
new and choose a location where you want
the notebook to be saved and then name
your
notebook and click on create notebook
I'm not actually going to create a new
notebook now but this is a process you
would repeat this for each of the
notebooks that you want to create in the
par component so you would create a
notebook for projects areas resources
and
archive now to easily differentiate
between my two par setups I've color
coded each uh you can see that my work
notebooks are in blue and my personal
notebooks are in red plus I've thrown in
a little house icon next to my personal
notebooks for extra Clarity to do this
you just have to click right Mouse click
on the notebook go to properties and
here you can choose different
colors and if you want to add an icon in
front of your notebook name all you have
to do is click on Windows semicolon that
will bring up your icon list and you
just have to search for whatever is
appropriate so for home I can just type
in home and I can select the right
Emoji once we have our notebooks created
now we can start to create sections so
starting with the project notebook I can
create sections for each of the projects
that I'm currently working on again
these are things that require multiple
action steps have a specific outcome and
are time bound as you can see I've
tagged each of the project with a small
icon which again you can add by pressing
Windows plus semicolon and picking an
icon this is something I only do for the
project sections it helps me quickly
realize I'm navigating through projects
when I'm switching between
notebooks next up is areas and for this
example I'll go to my home notebook
think about the domains that need
consistent upkeep in your life like
health or finances and create a section
for each of these and for resources this
is what you'll stash articles tips
tricks checklist templates whatever
helps you get things done if you already
have some of these resources you can add
the sections uh to this notebook now now
an easy way to differentiate between
areas and resources is that the notes
that are in the areas are personal to
you these are things that you're
maintaining whereas the notes that you
have in resources they can be shared
with others so if you have a good video
editing tip that you want to share with
your friends and family you can share
these notes whereas you might not
necessarily share notes that are in your
areas because they're personal to
you and for these two notebooks resist
the temptation to create sections until
you have actual notes to fill them with
Thiago suggests par should be quick and
easy to set up so avoid wasting time on
empty sections that will disappoint
later instead create sections only when
you've got notes or information ready to
go in them to easily identify par
components as we navigate through
different notebooks I actually use a
convention recommended by Thiago himself
so as you saw my projects are all named
with Emoji or icon in front of the name
so whenever I see an emoji or an icon it
quickly lets me know that I'm in the
project section of the notebook whereas
if I go to the areas notebook all of the
names start with a capital letter letter
as opposed to if I were to go into my
resources notebook everything is in
lowercase this differentiation helps
especially if you've got sections with
the same or similar names across the
different
notebooks finally the archives once the
project is done or you have areas that
you no longer need to maintain or have
resources that are outdated or no longer
relevant you can move them to the
archive move entire sections not
individual Pages this will make it
simpler to reach re the information
later if needed so for example if this
project for red is completed I would
just click and drag it over to the
archive section and let it go and then
now it shows up within my archive
notebook in the par method the
flexibility to move notes and sections
is crucial rather than being static
these notes are relocated based on
evolving requirements for instance if a
project this halted related notes are
shifted to the archive but should the
project revive 6 months later you can
easily transfer these archive notes back
to your active project folder avoiding
the need to start fresh similarly if
you've been Gathering job search
articles in your resources notebook and
then find yourself actively job hunting
you can conveniently transfer those
notes to your active project
notebook since we'll be jumping from
notebook to notebook constantly I
recommend you to do two things the first
is to pin The Notebook navigation so as
you can see I have this pinned this way
I can see all my notebooks and I can
expand each notebook or collapse them
and I can move notes and sections
between notebooks by simply clicking and
dragging them to the different
notebooks and how you do that is let's
say I did not have the pin active all
you have to do is hit the dropdown and
click on this pin here this way the
navigation pane will always show on the
left side of the screen the second thing
that I recommend is to change your
default search to search all notebooks
because we're going to be bouncing
around from notebook to notebook it's
important that you be able to search
through all the notebooks at once so to
make this the default make sure that all
notebooks is
selected and then come back down again
and set this scope as default so this is
how I apply the par method to one note
per offers a lot of flexibility so you
don't need to follow a rigid structure
customize your setup to make it work for
you the benefit of this notebook setup
is that it acts as a ready-made Vault
for our important thoughts and
discoveries let's say a podcast Sparks a
video idea for me straight into my
YouTube ideas and areas it goes or I
stumble upon a cool editing hack it gets
saved into my video editing and
resources this way when whenever
inspiration strikes we have an organized
place to save them and when we're ready
to take action on something the
information is already there for us this
beats having to cram research and
brainstorming into the few moments where
we have before a deadline I hope you
