schnittstelle anhand eines
einkaufsprozess näher bringen dazu
gucken wir uns vier belege an die
besteller anforderung die bestellung
wareneingang und eingangsrechnung wobei
die besteller anforderung ein dokument
ist was aus dem ecm system kommt welches
wir dann der bestellung die wir hier im
sap generieren und damit ein ausgehendes
dokument zu ordnen werden dann haben wir
den wareneingang ein lieferschein
papierform den wir mit barcoo zu ordnen
und zu guter letzt einer
eingangsrechnung um die wir über das
ecm-system auslesen und dann ins sap als
gepackten beleg transferieren fangen wir
an mit der besteller anforderungen die
bestell anforderungen kommt von einem
kollegen rein wer keine möglichkeit hat
auf das sap zuzugreifen
deswegen habe ich hier im dorf eine
entsprechende aufgabe von dem bekommen
sehe das pdf-dokument er möchte dass ich
hier den artikel es nur eins beim
stahlwerk münchen
wir besorge und ich nehme mir jetzt
einfach mal die beleg nummer die er mir
gegeben hat um eine bestellung im sap zu
generieren
hier also hier rein wählen das stahlwerk
münchen aus
ich gebe eine referenznummer an ich gebe
die artikelnummer an 100 stück sowie der
kollege das gerne haben möchte und habe
damit bereits meine bestellung generiert
jetzt kann ich die bestellung hinzufügen
im system
und in diesem moment wird das ausgehende
dokument ins docuware abgelegt wenn sie
es zusätzlich noch in e mail versand
schicken oder ausdrucken passiert das
natürlich parallel an der stelle
jetzt wo ich die bestellung hier
generiert haben können wir uns mal
angucken wie die integration im sap
selbst aussieht von der schnittstelle
die funktionalitäten in der rechten
maustaste und alles was unter dem
verknüpfung plan ist sind
funktionalitäten die ihnen die
schnittstelle bietet ich konzentriere
mich jetzt hier auf die wesentlichen
punkte für unseren prozess wir können
hier nochmal das layout archivieren das
standard layout das können sie auch für
roswitha hinterlegen wenn sie möchten
wir können spezifische lee aus
archivieren und wie wir oben in der
tiefe liste sehen kann haben wir bereits
eine anlage dh ich kann hier in der an
datenliste
einmal das dokument öffnen kann hier und
vereinfachte form der anlagen des
darstellen und sehe dass das ausgehende
dokument auch aus dem sap heraus zu
greifbar ist das eigentliche dokument
liegt im docuware und nicht in den sap
anhängen an der spitze
kommen wir zurück zu unserer
darf anforderungen diese wollen wir
jetzt abschließen und wenn ich jetzt
hier meine
nummer 1 gebe meine bestellnummer dann
sehen wir auch sofort dass die
bestellnummern 7 die wir gerade angelegt
haben im system auch verfügbar ist wenn
ich hier versuchen würde eine andere
nummer eins geben dann würde das nicht
funktionieren weil doch die wir hier
bereits mit sap prüft ob die daten war
wieder sind die ich hier ein gebe ich
kann jetzt also die
bedarfs- anforderung meinem kollegen
bestätigen da sich das bestellt habe und
bin damit an der stelle hierdurch gucken
wir uns jetzt die weiteren schritte im
sap an
wir haben ja die bestellung an der
stelle und wir möchten jetzt den
wareneingang befassen das machen wir
ganz einfach indem wir die normale
funktionalität von sap nutzen wir
generieren uns hier ein wareneingang die
ware kommt an der die verschreiben hat
jetzt diese lieferschein nummer ich kann
jetzt noch mal die ware prüfen aber wir
gehen davon aus dass jetzt alles stimmt
auch hier füge ich einfach das dokument
wieder hinzu
und wir bekommen jetzt ein barcode popup
dieses barcode pop ups ist
stellvertretend für mehrere
möglichkeiten die sie haben man kann ein
barcode von rolle neben den auf die
erste seite vom lieferschein aufbringen
und kann denen dann mit einer pistole
hier in dieses feld einscannen man
könnte aber auch ein barcode label
drucken dann würde ich dieses barcode
popup nicht kommen würde nur den label
auf den die verschieden sinn und zweck
des barcodes ist es im dokument sauber
trennen zu können an einer bestimmten
stelle und natürlich durch die
nummerierung können wir das dann auch
später wieder sauber hier an dieser
stelle zu ordnen das heißt ich geh jetzt
hier einfach mal auf ok damit wird dann
der barcode gespeichert
und wir können das dann auch sehen dass
wenn wir jetzt rechte maustaste machen
sich unser kontextmenü angepasst hat das
passiert für jeden dialog den wir im sap
haben das können der custom eisen wir
sehen dass wir jetzt hier eine barcode
liste haben statt einer anderen liste
weil wir dieses dokument eben noch nicht
gescannt haben das wollen wir jetzt mal
tun
wir gehen wieder in unser docuware und
ich rufe mir das erste dokument auf was
hier reingekommen ist ins system und wir
sehen dass hier unser liefert eines der
barcode ist drauf und ich lege diesen
die verschreien jetzt einmal ab mit der
barcode nummer damit man auch sieht dass
ich wirklich nur die barcode nummer
erfasser mache ich das hier manuell
normalerweise würde das ecm-system den
barcode erkennen und die dokumente
trennen so wie es das hier auch schon
gemacht hat für die zwei dokumente wir
sehen hier den folge barcode
und dann muss man diese manuelle eingabe
natürlich nicht machen
wenn wir uns jetzt der funktionalität
des ecm bedienen bei docuware ist es
dass intelligence indexing dann können
wir jetzt diese rechnung ablegen und
wenn ich das ableger dann sehen sie dass
die ganzen informationen schon vor
gefüllt sind das einzige was ich hier
noch ergänze ist die partner nummer weil
die vom lieferanten nicht auf den auf
der rechnung aufgebracht worden ist
sie sehen aber auch dass ich hier nur
einen wert habe zur auswahl auch hier
wieder die prüfung gegen das sap ich
kann nur valider kombinationen aus
partner name und partner nummer wählen
die restlichen daten hier sind soweit
okay das heißt ich kann dieses dokument
jetzt entsprechend ablegen damit habe
ich auch schon meine vier dokumente im
system die bedarfs- anforderung habe ich
mit dem workflow bestätigt die
bestellung habe ich generiert aus dem
sap heraus den wareneingang habe ich
gerade mit dem barcode zugeordnet und
ich habe auch die rechnung bereits
verarbeitet gucken wir uns jetzt mal an
wie sich das hier auf der sap seite
zwischenzeitlich verändert hat wenn ich
rechte maustaste mache dann sehen sie
dass oben jetzt plötzlich zwei anlagen
auftauchen und wenn ich in die anlagen
liste hier dann sehe ich dass sich neben
der bestellung jetzt hier auch die
bedarfs- anforderungen drangehängt habe
das war genau das was ich hier auch
zeigen wollte dass ein dokument
entsprechend aus dem system heraus von
docuware an sap übergeben werden kann
wir erzeugen hier ein link mit dem wir
das ganze dokument darstellen
dann gucken wir uns an was mit dem
wareneingang passiert ist wenn ich jetzt
hier auf rechte maustaste hier dann
sehen wir oben dass wir plötzlich eine
anlage haben und die barcode liste wurde
durch eine anlagen liste ersetzt das
liegt daran dass wir über den barcode
jetzt das dokument sauber zuordnen
konnten und der die verschreiben hier
entsprechend zugeordnet worden ist jetzt
haben wir noch das letzte dokument der
die eingangsrechnung
jetzt könnte man natürlich klassisch
hingehen und sagen ich kopiere meinen
wareneingang in richtung
eingangsrechnung das wollen wir hier
natürlich nicht machen sondern wir
wollen die funktionalität
dahin verlagern das wird die erkennung
bereits auf der
docuware seite machen dazu gehe ich
jetzt hier einmal in die liste ich gehe
in die geparkten belege reihen der
eingangsrechnung dann bekomme ich hier
so einen dialog sie sehen dass wir hier
für den einkauf aber auch für andere
bereiche wie zum beispiel den verkauf
belege generieren können aus dem ecm
system heraus und wenn ich jetzt auf
meine liste gehe dann sehen wir dass wir
ein eine eingangsrechnung hier erzeugt
bekommen haben wenn ich die öffne dann
haben wir hier die daten
das heißt ich sehe ich habe hier meine
rechnungsnummer ich habe die
positionsdaten sehe dass das von
stolberg münchen kommt ganz wichtig
natürlich der verknüpfung plan bleibt
erhalten dh wenn ich hier vom dokument
ausgehe und einmal auf den basis beleg
zurück springe dann sehen wir dass wir
auch zu unserem wareneingang kommen die
nicht gerade generiert habe das heißt
hier wird auch die ganze kette der
belege erhalten da das ein geparkter
beleg es muss ich diesen geparkten
belegt jetzt noch hinzufügen um den
final zu buchen das kann man in der
schnittstelle auch einstellen dass wenn
alles so weit passt man eine
automatische buchung hat dann spart man
sich auch diesen schritt und hat damit
nur eine vorgabe ein vorgang auf der
doppelseite nämlich erkennen des belegs
und auch hier wieder rechte maustaste
wir sehen dass die anlagen liste da ist
dass das dokument entsprechend dran
hängt und dass wir hier auch wieder aus
dem sap heraus den zugriff haben
zusätzlich für
diejenigen die ihnen das sap kennen gehe
ich nochmals in den verknüpfung plan um
auch hier zu zeigen die eingangsrechnung
ist tatsächlich mit dem wareneingang und
mit der bestellung entsprechend
verknüpft und kann dort aufgerufen
werden zusätzlich haben wir hier noch
die geschäftspartner mit drin wenn ich
auf den geschäftspartner clique dann
kommen wir in die geschäftspartner
stammdaten und wenn ich hier in die
rechte maustaste gehe dann sehen sie
dass wir auch hier eine anlage zur
verfügung haben und in dieser anlagen
liste habe ich hinterlegt dass wir die
ganzen rechnungen die dann auch
tatsächlich gebucht worden sind hier
entsprechend mit übergeben das heißt man
kann ein physikalisches dokument an
mehrere stellen im sap verknüpfen soweit
also die funktionalität in der sap
oberfläche das was man ihr glaube ich
deutlich gesehen hat ist für den sap
anwender ändert sich im großen und
ganzen nichts hat hier oben eine anzeige
ob dokumente im ecm system vorhanden
sind und über die rechte maustaste hat
er zugriff auf alle funktionalitäten
mehr muss er hier mit der neuen
schnittstelle nicht berücksichtigen
gucken uns abschließend noch an wie das
ganze sich anfühlt für ein docuware
anwender der keinen zugang hat zum sap
dagegen märz hin und nehmen uns unsere
bestellnummer wieder die habe ich als
sap vorgangsnummer
benannt daran sollten wir alle dokumente
wiederfinden und da sehen wir auch schon
dass die vier dokumente von denen ich
gesprochen habe wieder aufrufbar sind
angefangen mit der bedarfs- anforderung
hier sehen wir noch den stempel von
meinem freigabeprozess wo ich den
kollegen mitgeteilt habe dass unter der
bestellnummer 20 22 00 07 die bestellung
ausgeführt worden ist dann als nächstes
sehen wir die bestellung selbst die
bestellung ist als ausgehendes dokument
aus dem sap heraus generiert worden die
verschlagwortung ist ebenfalls aus dem
sap komplett gekommen dann haben wir den
wareneingang mit dem die verein erfasst
und hier sehen wir dass sowohl die art
des dokuments als auch das stahlwerk
münchen ist welche lieferschein nummer
etc
komplett aus dem sap ergänzt worden ist
und das alleine über die verknüpfung mit
dem barcode und
zu guter letzt bei der rechnung da haben
wir die daten ausgelesen auf der ecm
seite wir haben die daten übergeben ins
sap wir haben damit den verknüpfung plan
erhalten so dass die rechnung sich auf
die gegend den verein und die bestellung
bezieht und wir haben die dort
entsprechend verbucht dass die dann
verbucht ist wurde hier noch mal im
status abgelegt generiert und es werden
dann auch die entsprechenden
informationen
mitgezogen sie sehen dass sich eine
ganze menge an daten haben wir sehen
auch hier die unterschiedlichen sap
belegt nochmal nochmal die außen sap
kommen das ist die sap doch um so ist
also komplett nachzuvollziehen wie das
ganze aussieht und natürlich gibt es
hier auch die möglichkeit
wenn ich einfach mal eine komplett suche
mache sie irgendein dokument auszusuchen
und dann hier im ecm-system auch so
etwas für eine verknüpfung verplanen zu
haben und dann sehe ich dass zu diesen
lieferschein hier zb nur drei dokumente
drinne sind wenn ich mein die vereins
und heute nehmen und hier mal den flug
nutzungsplan starte dann sehen wir auch
hier dass wir wieder auf unsere vier
dokumente zurückkommen soweit zur
integration dieser schnittstelle wenn
