How to use Google drive? We see that together with this tutorial how
it works in four steps. Good morning ! My name is Stephane. If you're looking to
build your online business, welcome to this home-based channel.
Subscribe and click on this little notification bell that will allow you not to
miss anything . What is Google drive? It's easy.
It's just a big hard drive, except instead of it's on your computer, it's
on the internet, what's called the Cloud.
The advantage is that in order to manage all the files you will have on this hard drive,
you no longer have to go through the Finder or through the explorer if you are
on a PC. There are other advantages, including the fact that it is a hard drive that is
really solid. Anyone who's had a hard drive that farted with all the data that
blew up knows a little bit of what I'm talking about.
The other advantage is that if you are going to be able to share this with yourself, in perfect
synchronicity, for example if you are on your PC, you will find exactly the
same information if you go through your smartphone this time. Once again, it will be
in perfect synchronicity. Or if you go on a trip to the other side of the world, you
will be able to see all the files that are on this Google drive, which will
also be in perfect synchronicity. Or you will even be able to share
these files with other people who work with you, for example on
the other side of the world, or files that you would like to give to lots of people.
We're going to get there. I will explain all of this to you a little more precisely with this
tutorial on Google drive. We go to a tutorial version. Now we are looking at
my office. How does Google drive work? First thing, you have to join Google
drive. You will see that it is very simple. You just type drive on Google and
click. There you will join Google drive. Now what you have to understand
is that if you already have a Gmail, a YouTube channel or whatever, that means that
you have a Google account because this Google account is there to oversee
all these different tools a little bit . If you have a Gmail, you can very well go through
these shortcuts that you have for example on Chrome and you will find your drive
which is simply here. You just have to click. If this is not
the case, you click on this link in question and you will end up on the presentation
of Google drive. You will already see that from the outset, there are indeed 15
gigas available, 15 gigabytes of storage. Right away, the prices. Let's get right to the point.
That's what we want to know. How much does this Google drive story cost? Before,
we will take a little detour by a real hard drive because maybe you will be
hesitant about the price. A hard disk roughly, I took a classic and banal,
a terabyte, this one costs 45 €. If you say to yourself "my hard drive, I'm going to
make it last 5 years", that means you're going to pay roughly $ 9 a year to depreciate it.
Now how much is this Google drive worth? It's a little more complicated because
we realize that Google drive is not sold alone, but rather with a
suite of tools. Indeed, we realize that we are at 4.68 per month, but
it is a continuation. Once again, a suite of tools, of software which are at your disposal
and which can provide you with a lot of services, in particular Gmail which will offer you this
time an email, but professional, enough to make videoconferences, what to do with
the chat, what to fill in agendas for example if you do coaching or if you do
consulting. You actually have 30 gigabytes of free space in your drive. This is
the equivalent of Word. This is the equivalent of Excel. This is the equivalent of
PowerPoint for making slideshows. That is what to do polls. You have
enough to make a website. It's not worth WordPress, but hey. Then enough to take
notes and it's also quite useful. You see it's really hard
to compare the two prices because they don't do the same thing at all. We will have tried
in any case. We assume that this is it, you have
accessed your Google drive and that you are inside your hard
drive. There, you will quickly realize that there are three spaces at your
disposal. The one on the left is the menu on the left. The one
at the top is a context menu. The central part, where you store your
files, folders, etc. This menu on the left, you can see that my drive
is there. It's really inside your hard drive. It's organized in
a very conventional way by folder. Then inside the folders obviously
you can put files. Just below, you have this "shared with me",
we will come back to it shortly after. It's a little more extensive as a function. Recent files
you have worked on that are there. The files that you have preferred,
in a way that could very well be your favorites, your favorite files to which
you would have stuck a little star. You will find them here in this menu.
The Recycle Bin which is just a two-tiered Recycle Bin, like on Finder or PC
Explorer . That is, first you put in the recycle bin and if you really want to get
rid of the file, you have to empty the recycle bin. Same thing, you see that
my basket is full and that I have not emptied anything. Then the storage space, there you
realize that I have 2.7 gigas to use out of the 15 free gigas. Once I
'm at 15 gigabytes, I could buy some storage space, so upgrade all that.
I come back to my drive and you see that here, it will become a context menu. Right before we
jump to that context menu, if you click here, you'll find yourself facing a few
features. You will be able to create a new folder in your Google drive.
You will be able to import files. It answers the question how to send
a file to Google drive. It’s very simple. You click, you choose this file
in question and you open it. You will import it into your Google drive. You
can do the same thing with straightforward folders and you can create documents
from Google drive without needing to open this or that software. Since
you have them all here, what to do with text (equivalent to World), what to make
spreadsheets (Excel), what to make slideshows (PowerPoint) then all these tools, the surveys
that it offers you. For example, you click on Google docs and it will open a blank document
on Google docs which will be stored in the Google drive and which I can rename. Here,
I just have to write absolutely what I want.
Back to our little menu. You've seen a little bit how it works and
you have the exact equivalent here. It is simply the same.
On top of that, this contextual menu that there is up there, if I click on a folder, you
see that it offers us additional things. I will come back to these shares
in a few moments . A trash can to throw away the file. Again without risk since it
is on two levels this trash. Here you have a whole bunch of actions. I can go over that
very quickly because frankly it's not complicated: put a color
on your folder, rename it and add it to favorites, etc. It is not super complicated,
if perhaps the trips. You can move files inside
even here. It's pretty straightforward. Here you can, if you want, put in
another layout, lay out in a different way. There you have a list mode.
I am coming back to the slideshow mode a little more. I'll click on a folder. On this little one
which is interesting as everything, to display the details, because already it will mark me
some details about. You see that for example, I know that this folder is
not shared. I have a padlock. I also have dates that are offered to me and also,
but above all I have the activity. The activity shows me what I have been doing lately
on this file. For example, I touched, obviously, I modified this
element, this particular file on February 2, 2018 and it allows you to go back step by
step each time, a little bit like elsewhere Photoshop
in its history. It is rather very useful.
Still up there, of course you have this useful search bar to actually find
if you have lost something, find a file, a folder. This is
enough to work offline if you are not connected to the internet. You can
easily go offline and work without being connected. Then you obviously reconnect
. You have the help and the settings. I will not come back to that, frankly
you are leaving everything to default. This is more than enough and it works very well like
that. Now we are going a little further.
Google drive how does it work? Precisely, we are going to talk about this shared function because
it is particularly interesting. You can of course not share
with anyone. There are three levels. - The first level: limit yourself.
No one will obviously be able to see what you are doing on your own hard drive.
- The second level: you will be able to share a file, a folder with people
who will be able to work on it at the same time as you in sync, in perfect sync.
It will be limited to the people you are going to send a particular link to, of course. Either
you send it so that just people can read. They are just readers, they will
not be able to intervene on the file. Or, you offer to be a straight editor
and both of you can intervene and work. This is where this activity function
that I showed you earlier on the i for info can be interesting
because you can still go back to what the other person
did. In short, you have understood the principle. - The third level is to
offer a link that will be open to the whole world. This is super useful when, for example,
you are making a PDF to collect email addresses. You can very well store your
PDF in your Google drive and there you will offer this link in exchange for an email address
. Concretely, there are plenty of places to
join it, but you can simply tap on this shareable link. From
here, you can enter the address you want to share with whoever you
want. I put my own address to see a little bit how we can do that. It
'll send a notification and you can send whatever message you want.
You see that I am in editor. Attention small trap, editor means that the person
who will receive this notification, this message will be able to intervene, will be able to change what you
have created. Otherwise, you just put it in reader and it will only be able to read the document.
This is the first step. Then just below you have
fun with the link for that particular folder. You see that, in fact, you have the
two levels I was talking about earlier. Limited, limited to yourself,
indeed we see that it is limited to the owner, to myself. I have not
shared with anyone. It's limited. It means that no one can see what
I just did. But you can also put "limited" and only with the people
you have added here. This is sharing with different people with
whom you would like to work, for example. Then, you have this last level which is
all the users who have the link, what I was talking about earlier,
namely to make a PDF available to everyone against an email address, you see
that you would put in this kind of case in reader because if you put in editor,
that means that the whole world will be able to tamper with the document which you are using
. You just have to retrieve this link, copy the link and
simply make it available to all those who would like to retrieve this PDF against your
email address in this example. It's easy. It's very easy to use
and it's super convenient. On the other hand, it is a little bit the death of the USB key this thing.
The fourth step, how to use your Google drive on PC or Mac. You see
that there is a way not only to back up, as we have seen so far,
but also to synchronize. This means that you will be perfectly
synchronized between your own computer and what is happening on your Google drive
in the Cloud. Concretely, that simply means that you will be able to have a
Google drive folder which will be on your computer and which will once again be synchronized and
which you can put offline or online as we saw earlier.
Obviously, if you work on the internet, this Google drive first is the future,
let's be clear. But then it's going to be extremely useful to you for a whole bunch of tasks.
Personally, I sell online training. You see it's used. I
use it absolutely every day. If you want to take it a step further and create your
own online training, it's not more complicated than everything we 've just
done. You just have to click there Training Offered.
I hope I have steered you a little bit in this haystack. See
you if you click!
