Hey, how are you doing? My name is Shu. Today, we're talking about tools to help you organise
your work and life. A great tool can make a huge difference. Ever since I found mine,
I've been able to get more things done, miss fewer deadlines, and generally feel
more in control. So I'm hoping that you can find some of these apps useful too.
There are many tools out there, but these are the ones that I personally found most helpful, but not
many people know about yet. So you can, of course, go with big guys like Notion and Obsidian, but
they can be unnecessarily complex or have a steep learning curve. So if you're looking for a more
simple tool, these apps might be a better fit. Also, I chose these apps not only for their
functionality but also for the fact that they offer both web and mobile applications. Having
access to your notes, tasks, schedule on-the-go is essential in my opinion, and these tools
have got you covered wherever you are. Having said that, let's get into it.
The first one is Timestripe which I think is the best app to keep track of not just your
daily tasks but also your long-term goals. The problem with most todo or note apps is
that they tend to become a pile of daily tasks, and you forget about your long-term goals—things
that you really want to accomplish. But Timestripe is different. Its focus is not
just on the day-to-day tasks but also on the long-term goals. The way it works is quite
unique. You can set your goals for different periods of time, such as a year, a quarter,
a decade, or a lifetime. It's usually best to start with a lifetime goal or a decade-long
goal and then break it down into smaller ones. Say you want to open a cafe in the next decade.
Then you can create sub-goals for each year, quarter, month, or even a day. It's nice that
you get to set your goal for different timeframes. Also, every time you see your tasks for the day,
you get to see your long-term goals as well, which helps you remember them and keep you motivated.
But like other apps, you get to create lists for different categories. If you need a grocery list,
you can create one for that. If you need to keep your ideas, you can use it as a notebook. Or if
you want to keep track of your habits, you can make a habit tracker. It's great that they have
lots of templates for you to choose from so that you don't have to start from scratch.
It also has some insights that help you keep track of your progress and stay motivated.
Their mobile app is decent. What I find very frustrating is how slow it is to
launch sometimes. Maybe I'm just not patient enough, but it's annoying when
you quickly want to jot down an idea, or todo, or see something you wrote. But once it's up,
it's great. It works as well as the web app. So, if you're looking for a tool to
organise your life and not lose sight of your long-term goals, I think this is the best one.
Another one I personally really like is Twos. I tested it a few times before, but it gets better
and better each time. For something that's free, the value it provides is incredible. It's kind of
like Google Keep, but much better, in my opinion. It has both a web and a mobile app. The mobile
app is super quick to open. It takes less than a second, which I absolutely love.
It has home screen where you have widgets for your daily notes, todos, lists, bookmarks, and so on.
Notion recently added home feature, and it's kind of like that. It is very useful that you get to
jump straight into what you want to see. When you need to check your tasks, you can go to your to-do
list and see what's due today and what's upcoming. But most of the time, I think you'd be using the
daily note. This is the place where you can write anything—not just tasks, but also your thoughts,
ideas, goals, and so on. You can also share a cool thing you found on the internet or a photo
and keep it on your daily note. This way, you get to manage your bookmarks in this
app as well. A cool thing is that you can set a reminder for each thing you create. If there's
something you don't want to forget, you can create a reminder for it. It doesn't have to
be for a todo, but also for a quote you want to remember or a link you want to check later.
There are many options like this in Twos such as a focus timer and AI. You can use AI to have it
explain something, break down to-do, correct grammar, or just tell it whatever you want.
If you have a project or something bigger than a to-do, you can make a list that works as a
kind of project note. Now you can start writing or collecting things you need for the project.
But something I really like about Twos is how customisable it is. When I went to the settings,
it overwhelmed me a little with all these options it has. You can customise even the
smallest things, which is really cool if you want to build something tailored to your preferences.

my favourites. But I cannot cover them all here. So you should check it out yourself.

I get asked many times about which app I actually use. I've said this every time,
but Amplenote is the one. I just made a full video about it and how I use it a few days ago,
so you can check that out if you're curious. In my opinion, it's the best tool for organising
your work and life. It's got notes, to-do lists and calendar in a single package.
It's kind of similar to Twos. Both are great apps, so it depends on your preference,
but I personally like this calendar mode on Amplenote so I can see my entire schedule
at a glance. Also, being able to use bidirectional links is very handy for
organising my notes and for writing. You get to keep track of each note, person,
bookmark, and so on, and where it was mentioned. Essentially, my workflow is to jot down my ideas,
todos and pretty much everything else in the daily journal. For projects or long-form writing,
I create separate pages for them. Then, before starting my day,
I use the calendar mode to build my schedule. It's very easy - I just have to drag and drop
tasks from the todo list into the calendar. There's a lot more to it, but I talked about
it all in my previous video, so make sure to check it out if you want to know more.
Anytype is like a baby between Notion and Apple Notes. The design reminds me a lot
of them. It looks very nice and clean. A cool thing about Anytype is that you
can build different types of notes. It can be a bookmark, a plan, a person, a movie,
etc. I suppose they are kind of like templates, which make it easier to enter information
quickly as well as organise them later. Say, you met someone and want to keep a
record of it. You can choose the human object, type in their name, hobbies,
work and so on. Once you make the page, you can see all of them in your people collection.
There are a lot of other object types like this and you can create your own.
So this is one of the things that makes Anytype good—it lets you enter information
really quickly and organise them efficiently. Also, the ability to let you create widgets for
these collections on your dashboard or the sidebar is really cool. You get to see your important
stuff at a glance like todos, notes, journals, bookmarks or whatever else matters for you.
The mobile app is great as well, which is a big reason why I included Anytype in this list. It's
fast and easy to use. You can find what you need quickly and create a new note with an object type.
Apps like Notion are more focused on project management and collaboration, but I feel
Anytype suits better for individual use. So if you're looking for a Notion-like app that is a
bit simpler, Anytype is a great choice. I made a full review of it here if you're interested.
Finally, Heptabase is a personal knowledge management tool that's been getting really
popular. It's a note-taking app, but I think it's also great for organising your
life and work because you get to manage your tasks, reading highlights and notes. Plus,
they have a decent mobile app too. What's unique about Heptabase is that
it lets you organise things visually on a canvas rather than the typical list-based
way. You can write down your ideas, things to do, or even clip something from the web.
Then you can go to Map, which is literally like the map of your mind. Here, you can create as many
whiteboards as you want for different things, such as projects, subjects you're studying or
anything else. I think it's pretty cool that you get to create the map of your mind. Seeing how it
expands gradually can be quite satisfying. It comes with tools like a section,
line and arrow to make it easier to navigate your map. You can also create mind maps which come in
handy for brainstorming or outlining things. Another thing I really like about Heptabase
is that it allows you to search online within the app. This makes a lot easier to do research while
writing notes. Using this, you can make plans for trip, research topics and so on with ease.
It also has an unified list for all the tasks in your notes which I think is crucial for
apps to organise your life. There isn't much customisation for todos, but you can at least
schedule them so you know when to work on them. Their mobile app is good enough. It's quite fast
to launch, and searching through notes to find what you need is a breeze. The
interface is very intuitive and easy to use. If you use the daily note,
you can plan your day or even the week on the app. Creating a new note is pretty straightforward as
well. My only complaint is that you can't see the list of the tasks like you can on the web
version. I find that a little inconvenient but I'm sure it's going to be added in the future.
