basically today this is actually the day
that I'm launching my new course called
uh simplify your Digital Life and this
is kind of a primer to it it's kind of
um talking about all of the stuff that
you need to know to organize your
computer which we all struggle with
awesome we are going to be talking a
little bit about notion not as much
today we're going to be talking more
about the framework behind what I teach
with the pillars which is my favorite
thing to teach and it kind of lends
itself to notion as well as all the
other apps that I teach Google photos
email we'll be talking about all that
today so I'm just going to get started
hopefully people will just jump in go
because I'm sure I want to leave time
for Q&A at the end and we will be
talking about multiple apps today so
we'll definitely be talking about that
all right my computer tells me it's 12
o'clock all right so this is what we're
going to be learning today is we're
going to be talking about why it's
important to have an organized computer
and phone um where we're going to be
talking about some of the things that
happens if you don't um o pillars with
Google candle we'll definitely answer
that at the end um the basics of the 13
pillars so we'll be talking about it if
you guys haven't seen some of my videos
about the pillars um it's okay we we
will literally be walking through that
as well as a refresher for those who
have and then we're going to be walking
through um how that can be used in
different apps so let's just get started
I will say at the very end I will be
giving you guys a big discount for being

this but like a lot more in depth so
basically we'll I'll be going through a
lot more in detail how to set things up
today I'm going to be walking through
more of like what can happen if you set
it up so this is kind of walking through
what it looks like so a bit about me so
I teach um specifically marketing uh
most locally I do a lot of stuff um on
my YouTube channel I mostly teach notion
and productivity to mostly business
owners and adhders I also have a ton of
notion templates and I have an online

some other tools and I will be talking
about that today the two that I also
teach are Google photos as well as email
so a lot of people utilize Google photos
and we'll be talking about that a little
bit and that's also a big part of the
course and then I also teach this 13
pillar system so that's just something
thing to think about as well is I have a
ton of different things that I teach and
I also do a lot of content creation
which is why I need to have an organized
computer so let's talk about why this is
an important topic I think that having a
disorganized computer and phone is a
hidden epidemic it affects everyone we
talk a lot about in society about how
disorganized our homes are but do you
know what another big part of what we
spend our time in
is our computers and our phones I'm sure
you're like me we are constantly
downloading things you know taking
photos there's just a lot of content
coming at us and if you don't have a
good system it's going to be really
really hard to maintain all of that so I
am an ADHD I'm a business owner and I
create a ton of content so having an
organized computer is extremely
important that is something that you can
definitely like think about is okay what
is the most important thing um and that
is to have a system so for me in 2021 I
actually found a system that works and
that's what I'm going to be teaching
today I actually have been working with
um business owners and clients for years
and one of the things I found when I was
working specifically trying to help
people make marketing content is I would
look at their computers because you know
how you can share screens and I was like
man everything is disorganized their
inboxes files nothing was synced nothing
was backed up it was just chaos and this
wasn't just one client this was every
client that I had it wasn't adhders it
was everyone I realized that I have to
teach this system that I have learned
and set up for myself because I found it
so helpful for a lot of people so raise
your hand in the chat does this sound
like you do you have thousands of unread
emails right I see it all the time see
people with 10,000 unri emails do you
have a computer or phone that's
constantly out of storage or you can't
do updates on it this I mean this is
this is me too photos and videos that
aren't in a localized spot um or even
backed up so if something happens to
your
computer your photos are gone so are you
wasting hours trying to find files
because um I looked this up and
apparently at most businesses employees
spend almost two hours per day finding
information yeah so there's you guys are
saying in the chat there's so many
people being like this is me this is me
this is me I was this way too like I am
constantly subscribing to things or
downloading things and I just had stuff
everywhere and it was driving me crazy
so having a system is something that I
had to figure out for myself so what
happens if you don't have an organized
computer in digital workspace first of
all decrease productivity and disrupted
workflow you're you're working at
something then you're like oh wait where
did that file go and then it takes you
20 minutes to find it you don't have a
good labeling system you don't you know
know where it is uh lost time and energy
getting in hyperfocus is hard staying in
it is even harder increase stress and
frustration and obviously anxiety it's
just like oh my gosh my computer and
then you just like turn it off you don't
want to be around it and then also the
way that you communicate it annoying
your co-workers bosses or clients they
they're like oh man why is you know you
lost my thing or or you know this is
taking forever because your computer is
so chaotic and you don't know what to do
so my goal today is to help you you guys
figure out a system to organize not just
your computer but every single thing
that you have online and it's a one
system so it's called the 13 pillar
system how many of you guys have heard
of this comment below I mean some of you
guys have probably seen it on my YouTube
channel I've talked about this before
maybe you've heard of it maybe you
haven't but this is a system that I
started using in
2021 and it revolutionized how I
organize my computer and my phone
basically there's 13 different
categories um it was actually part of um
August Bradley actually created most of
these I have actually like sort of taken
his like method and like changed it and
then also made it for myself so I
started using this first in notion um
which you know you've probably seen on
my YouTube channel but then I started
using it for everything for my photos
for my email for my notes everything so
basically what this does is it takes all
the things that we have on our phone and
computer and sorts it into 13 different
folders categories or what I call
pillars and this is not just business
this is also your life this is family
friends you know your personal finance
travel all that all of these are split
into 13 different pillars and we'll be
walking through all of it yes the number
13 all my swifties out there um so this
is set into 13 different pillars and I
have found that I haven't found any
additional pillars needed everything in
my entire life and I've used this system
for two years can fit into one of these
13 and you can ask questions in the chat
and I'll tell you which category they go
into because if you say something I'll
be like well that'll go in there and
we'll get some time for Q&A at the
end so I did want to kind of walk
through okay so this is kind of the
there's three major overarch overarching
categories home business and health so
as you can see here I've got home and
then that splits into six I'm not going
to go through these I'm going to go
through each individual one so I'm just
kind of showing you we've got home we've
got business and then we've got health
and this includes mental health as well
so that's kind of
both so I just wanted to show you kind
of that overarching the other thing that
was different than the original August
Bradley one is this is also
colorcoded so I don't know if you are
like me I like things color coded so I
have created a color code guide for each
pillar and so whenever I'm using my
pillar system if the app or software
allows me to add a color I will now
unfortunately some there's there's only
a limited number of colors on a lot of
apps so sometimes I have to repeat
colors so some of these are repeated but
for me I know like the ones that I've
repeated are ones I don't use as much so
for me both travel and sales and
marketing are two that are the same
color but I don't travel much and I also
um don't talk talk about sales and
marketing as much as I talk about
content so for me it works you can
always change it depending on if you
want to add more colors you could add
like brown or something but I tend to
just stick with those colors and we'll I
I can give you guys in the follow-up
email um a screenshot of that otherwise
you can screenshot it for yourself so
what does this actually mean like what
do the pillars mean so to me the pillar
are basically the folders the parent
level of files that I use in many
different ways so here's a list of
things that I use this pillar system for
my inbox so the folders on the side
notion um my main area is sorted into
the 13 pillars and that's in my
templates as well all of the files on my
computer all those file folders in every
single space I have it sorted into 13
pillars Google photos I've organized all
of them into overarching file categories
which we'll talk about Google Drive no
notes the note app on my phone I have
folders on the side bookmarks on Google
Chrome and then even canva I organize
all of my canva documents into these 13
uh pillars so I use this again in every
single app that allows me to do this so
let's start with going through each of
the 13 so you kind of understand what
each of the 13 are and giving you
examples so we'll start with the first
one under the home category is
entertainment this is one that I had to
kind of make up because there wasn't
this before in August's system and I was
like man like I I I track a lot of
entertainment so things like TV shows
I'm watching movies fictional books
games hobbies anything that doesn't
really have a purpose and is just for
entertainment and the color for this one
is black I chose that because the color
of a TV is black and so that's why I
chose black so that's the first category
in the pillar system the next one is
family so this includes things like your
kids spouse parents and siblings
extended family pets this could in
include things like for example I'm
going to a funeral on Friday so that
would be you know purple is a family
funeral um weddings um anything to do
with your family is purple so that's
going to be like it could be your school
you know kids school work whatever it is
as long as it has to do with someone in
your family it's purple all right the
next one is friends and social this is
kind of an ogre archain category so this
could include things like dating so if
you're not married um dating would be
included under friends and social
friends social life reunions and parties
and then even networking I would
consider networking friends and social
more so than just business because
you're making connections in friends so
anything to do with friends social that
is light green and that is the category
for that the next one is home and
household so I chose pink for this one
because that's my favorite color but
basically this is anything to do with
home so this could be including things
like cleaning and Shores moving
organization decorating renovating
anything to do with your home that is
one category and that is
pink so the next one is personal finance
so this is really anything to do with
money doesn't have anything to do with
sales this is specifically managing your
money so things like budgeting
bills uh it could even include things
like health insurance um which you could
also put in the health and fitness
category I would maybe put it in this
one any basically any type of admin um
loans credit cards anything finan goes
in personal finance and that color is
dark green I pick that because it's
money the money is what you have for
that all right the next
one travel travel is again is the last
category in home and that is is also
dark blue so this includes things like
trips this also includes your car so
anything to do with your car goes under
travel um packing lists passports
anything to do with travel itineraries
anything travel goes and travel so those
are the six categories for the home
category in that so the next thing is
business projects so this goes under
business so this is great if you are
like in an entrepreneur but this also
can fit if you have a day job or if you
work any type of job so business
projects this could be projects for work
this could again be projects for
anything we've got things like courses
offers Services products job search if
you're looking for a job if you're
writing a book anything Project based is
goes under business projects and this is
yellow so this and again I'll show you
guys at the end so you guys can remember
there's a lot to remember we're going
through 13 of them it will take some
time to memorize these but once you do
you will know exactly what everything
fits
into okay the next one clients and
networking this one's important and I
picked red for this tax returns go in
finance for sure because business is
specifically projects that you're
working on so anything like tracking
your your finance will go in personal
finance and that's for business as well
it's personal and business finance
clients and networking go in Red so this
is things like I I picked red because
it's important these are people that
you're talking to your clients any past
clients this also can include your
network and acquaintances so I've kind
of gone back and forth between having
networking be in Social this is more for
like specifically like business
networking like like people that you're
having meetings about for business um
potentially to work with them and then
also mentors and mentees so basically
people in your network that have to do
specifically with business are under the
client networking and again it's more
clients focused and and people that
you're working with um it could also be
vendors for events that you're working
with whatever it is clients red this is
an important one so I picked the color
red all right the next one is content
creation so if and this could be whether
or not you have a business if you're
posting on Instagram for yourself could
also be included with that we've got
podcasts videos um blog posts social
posts email marketing anything to do
with content videos photos that I I put
as blue and if you actually download my
content calendar template on on notion
you'll see that everything in that
template is blue because I have set it
up so that everything content creation
is blue so for me I have all that what
if your business projects involve
content creation you would still put
that in content creation because um
business projects are basically anything
non content creation project s so I
would consider that content creation um
because it's still under the business
General category like you're good like
so so I would put content Creation in
its own category here the next one is
sales and marketing so this one's a
little different it's not content
creation it's more of like paid ads any
type of advertising that isn't like
making content so this could be things
like SEO um affiliate marketing anything
that has to do with making money
directly or spending Direct ly to create
um marketing this could be things like
Billboards tv ads anything if you're in
a business and it's not making like
social media content creation um so it's
kind of a little bit tricky uh to kind
of separate those two but this is what I
found is is anything that you can't make
yourself this is something that you have
to like spend money or or figure out a
way to do is under sales and marketing
and then the last one okay does mortgage
or rental lease go under household or
Finance okay so I would put that
under honestly I put that under Finance
because it has to do with admin stuff I
would say home is more around the
daytoday of your home um so that's like
organizing cleaning that sort of thing I
would put anything mortgage related
under Finance um specifically it's like
so even like your car loan i' put that
under Finance as well okay this one is
kind of a large category which is health
and fitness and this is specifically
your body this is not mental health this
is just physical health so things like
food and grocery meal planning fitness
and exercise Sports so if you you know
foll any sports uh weight loss this
could also include things like your body
so massage chiropractors so like for
example in my email I put all of my
chiropractors and massage stuff under
under uh health and fitness your gym
Maybe you have a gym membership um any
supplements you're taking all of this
goes under health and fitness what
investments go under sales and marketing
um I would probably put that still under
Finance because again it has to do with
money that's what I would personally do
okay so all right we've got two more so
we've got mental Clarity so this okay so
the next two categories are a little bit
you have to kind of figure out the
difference there is a big difference but
it it took me a while to learn so mental
Clarity is basically mental health um
this is dark blue this includes things
like therapy prescriptions um a lot of
you guys have ADHD or any other
diagnosed conditions um that are
specifically mental these are things
that um are helpful I also put things
like personality tests in this category
um just because it's like um things that
you're focusing on mentally and and kind
of just figuring out with your
personality that is and so the then the
next one a lot of people are like well
what about what is mind expansion what
the difference this is education and
learning so we've got things like books
courses this could also include if
you're in school um articles you read
homework anything to do with learning
and absorbing knowledge goes under mind
expansion so that is the last category
so we've gone through all of them so
those are the 13 pillars I find it
helpful to color code things with
multiple Shades yeah that's cool if
business was pink um you could do
whatever you want for color coding um
it's hard with some of the platforms and
I'll show you why it's hard to get the
multiple different shades because a lot
of these platforms only give you like
one color option and that's why I've
tried to simplify it so I will show you
guys exactly what I mean by that okay so
you've learned the 13 pillars and and
we've we've gone through them all um it
might seem like a lot but once you use
this every day it becomes second nature
you can throw anything at me and I will
tell you what it what category it goes
under I've struggled to find anything
that doesn't fit unto these 13 um and I
I've used this for two years so I it
kind of covers everything in your life
and business I there's really not much
uh that I can think of language learning
would be mind expansion for sure yeah so
that's what I'm saying like you can kind
of think of things that it's like yep
that goes under learning I would
consider that learning so like do a
lingo that kind of thing um for sure
mind expansion
okay and I'll show you guys maybe at the
end maybe I'll show you guys my
knowledge base and data in in notion and
see exactly how many different types of
of of ideas I have for this because I
have a ton so one thing to think about
is some people are like get kind of mad
they're like I don't want like there's
certain ones they're like I don't use
that or something so especially if
you're not a business owner you may
eliminate some if you want or if you
really really really wanted to change
when you can um it is your life you can
do what you want however I don't
recommend adding any more this is
already 13 is already a lot so so trying
to like add more I would either change
something out or try to figure out how
it can fit into one of the 13 we want to
simplify not make additional categories
you don't want to have like 25 different
categories it's going to make you crazy
so try to go under 13 if you can because
this is what I found um works and I
think it's very I think it's pretty like
holistically fits a lot of things
so all right so one thing before we
start talking about like your computer
and utilizing this system make sure that
you have updated everything this is
something that I work with a lot of
people and they are like years behind on
updates make sure that you are updating
your phone and computer to the latest
edition yep just updated my MacBook this
morning perfect because sometimes what
happens a lot of people don't know this
if your like computer has like the
update waiting in the background it can
actually slow it down so okay it says I
feel the opposite Things fall in several
areas how do you manage things that are
relevant multiple pillars it's actually
like the more that you think about it
the more you'll find one that fits a
major pillar over the other and there
are times on notion that maybe it'll go
into two but it's it's rare for me to
find ones that go into two it's going to
take some time as you're kind of
retraining your brain you're going to
find ones that fit one more than the
other it yeah it might technically fit
two categories but I would just figure
out a way for yourself to be like okay
it's going to go in this category yeah
going back on that do you pick the
primary pillar and have sub pillars yes
I do have sub pillars for sure and we'll
talk about that so there are like
categories within those main pillars for
sure there it's not like that just like
for example health and fitness you can't
get everything into health and fitness I
have sub pillars within that for sure do
emails with recruiters about finding
jobs go under business I would put that
under if it's job search like if if you
are looking for a job I would put that
under business projects teach dance okay
so if dance is your career that would be
a business project because that is your
job so again so some of these fit into
multiple but like dance as like maybe
you going to go dance for fun would be
under health and fitness but if that's
your business that would be a business
project if that makes sense so like for
example I teach content marketing so
that would be a business project not
under content because it's a project I'm
working on teaching it that's something
to think about like again there's like
all these little tiny little things that
like make sense but you just have to
really think about it okay if I'm a
dance instructor that is my business
that's going to be a business project
yes technically it's a health thing but
that's not what I'm using it for in if
you have to think about it in context
like this is a project I'm working on if
you're writing a book on something that
would go like maybe the book is about
health and fitness that's not going to
go under health and fitness that's going
to go under a business project under
your book that you're writing about so
you have to really think about it from
like what is the main reason that it
exists and it's because it's a business
project that you're working working on
I've had a couple people in the past
like have very very old computers and
phones that just don't allow them to
keep things updated so um if you are
like if it's really stressing you out to
the point where your computer's so slow
and I've had this happen to so many
people you might want to think about
upgrading just because um it's going to
save you a lot of time and energy so
that's just one thing to note um and
obviously some people don't have the
budget for that but you know if you can
it's going to save you a lot of it's
kind of like how you invest in a
mattress right like you're using that
every day you're using your computer and
your phone every single day yeah like
the idea of being forced to pick a
primary yeah it's really helpful you
just kind of have to be like this is
what it is and I'm not changing it and
it helps you make those because here's
the thing you guys ad steers executive
functioning we struggle to make
decisions once you figured it out it's
like I'm sticking with that and that is
the pillar it's going under and it's
going to stay there I'm going to talk a
little bit about how the pillars work on
different platforms so I'm just going to
show you some examples some screenshots
a lot of of this goes really more in
depth in the course because I teach you
like how to set it up but I'm showing
you kind of the end result so for
example if you're using like a Mac or a
PC one of the things that I do under
everything so if I'm like opening up the
movies you know folder on my computer I
will have it organized by by the pillars
so first thing I've got is business
projects and you can see on a Mac I have
the little color in the corner so I have
yellow for business projects if you're
work for a company or not self with the
clients networking um I would say the
clients and networking would still be
the clients that you work with at your
job sales and marketing you may not need
so you just wouldn't create a folder for
it um is what I would
recommend okay so then you've got
clients content creation Min expension
person I'm in obviously again here you
can see I only have five categories of
the 13 for this whatever whatever folder
this is in so you might not use all of
the pillars but they're there for you if
they if you need them so for me if I'm
I'm on like my computer and I'm under uh
the photo section I might have a lot of
family photos right so I would put so
what I would do is I would go through
all my photos find all the photos that
have to do with family pop them into
that folder from there you would then
continue to go down so one thing I've
done is I've organized it by year I've
organized it by person I've organized it
by for example um within photos
sometimes I'll have like travel so for
example you might have a family trip I
would actually not put that under family
I'd put that under travel because it's a
it's a vacation that you went on so
sometimes you have to kind of like think
okay well this is a trip so I'm going to
put that under travel and then you would
make a travel folder and then what I do
is I organize it by year first and then
location and I use a lot of things like
colons or dashes that sort of thing do
you have multiple folders on your
computer with the same names yes so I
yes so this so like for example business
projects client all this folders I would
have these exact same folders
like for example I'd put these within
movies I'd put these within downloads
I'd put these within pictures and it
would be the exact same folder titles
you could add things like pictures colon
business projects pictures colon clients
whatever you want I personally don't use
the search on my computer much I do more
so in Google photos um so it just
depends on the platform for you that is
something that I would recommend but I
can maybe show you guys a little bit
about this at the end um I do share
about this more in the course about like
setting all this up this is like an
example of using it on your computer
with a color so you can see that you can
add colors on specifically on
Mac within notion this is actually one
of my templates so you can uh download
my uh life tracker template and you can
see that I have it organized in board
view these are the pillars um and it
actually relates to a ton of different
databases but you can see here I've got
business project client operations cont
you can see exactly all that is and then
when you open each of those I actually
have my tag and knowledge vault which I
show on this one it's kind of confusing
if you don't know notion or if you if
you haven't seen my template but one of
the things that I created in notion is
something called a tag or knowledge
Vault so I started by having each of
them organized into the 13 pillars and
then beneath that I have kind of the sub
pillars or the sub topics and I'll show
you guys that at the end when we get to
the Q&A section um but this is something
that you can um set up for yourself or
download with the template is is like
okay I have all of these 13 pillars now
what are the different topics Within
These that I need to know information
about so for example Let me Give an
example okay so my home and household I
have my house as one of the like topics
within there I put things like my lease
agreement I put things uh the rules of
the HOA that I live in stuff like that
so I have a place so if I'm ever looking
oh I wonder what the rule is at my HOA
about this I'll go hey I'm going to go
to notion I'm going to go to my pillar
under home and household going to go to
the knowledge Vault from there I'm going
to see HOA PDF uploaded I can scroll
through that so for me I have everything
organized because I know exactly what
pillar it's in in my head and I have
already put it there as a place for me
to remember because otherwise it would
be chaos it' be like where is that HOA
document that I have all the time so I
do search a lot in notion I just don't
search a lot on my computer because I
don't you I oh that's another thing I
talk about this in the course I try not
to keep a lot of documents on my
computer I only keep working documents
that I'm using but most of them all my
photos and videos for the most part get
uploaded into Google photos all of my
PDFs get uploaded into notion all of my
like I don't have much audio and then
emails obviously get you know archived
or closed out of so anything that's on
my computer I really try to eliminate
I don't just use notion I also use
external hard drives and I talk about
that in the course as well I I like do
like to have backups of things
especially I am that kind of person who
likes to have multiple things here's
another example Google Drive um I don't
personally use Google Drive too much I
replaced it mostly with notion and
Google photos which I have a whole
YouTube video about that I've added an
additional category so some in some
situations I'll add an additional
category so for Drive I added one called
archive um and that's things that I
don't use anymore but don't want to
delete and I didn't really know where to
put that so I kind of made it its own
category I've done this in a couple
other times in email I created a a
folder called local because there's a
lot of local emails that I didn't really
fit with anything so so again like again
the 13 pillars are the main parts but
for certain apps I will add additional
folders if I really need them so for
example Google Drive I added one called
archive but everything else you can see
with Google Drive I again I'm using the
colors I'm using the names so I have the
kind of the general overarching folder
setup category and then within there you
can add additional folders and now I'm
not super strict about how I organize
within the pillars it's basically up to
you if you want to organize it by year
if you want to organize it by project
whatever it is this is just the main to
me getting the main 13 pillars organized
is the most important part because
you're going to start getting rid of
things that you don't want and just have
the general consensus of this is where
everything goes and it's easier to find
so from there you can organize it
however you want I talk about this a lot
in the course and that is Google photos
so Google photos is one of my favorite
apps I've done a couple of videos on it
now on YouTube but I recently actually
started utilizing the pillar system
within Google photos in the album
section so what I done with this is I've
created cover images in canva based on
the colors and the name of the pillar so
what for example um mind expansion
flowchart is the name of a folder I have
I collect a lot of things in Google
photos so I have examples of flowcharts
from different projects or things and so
you see I have 32 of those I've
obviously put that under M expansion
which means it's silver um and then I
put as the title of the album on Google
is mind expansion colon flowchart so for
me that is helpful that I don't have to
like you know figure out what folder
things are in if I just even search
flowchart on Google photos it'll pop up
as well I have things like you know
family cabin so pictures of my family at
the cabin and that's purple um things
like content colon podcast Graphics so
that's under you know specifically uh
content I have podcast Graphics that
I've made so for me having Google photos
organized with all because I I try to
have a a folder for every little thing
that I need so it's like I try I I like
at one point I had a folder that had
like thousands and thousands of photos
and I was like I need to cut that down
try to get it under a 100 if if possible
because if I'm really looking for things
and I utilize a lot of my photos a lot
screenshots that I have I really have
tried to organize my Google photos in a
way that makes it so that I can find
things easier so for me this took a
while and that's the other thing about
all this you guys this is going to take
some time to set up this is not
something that's going to be a one day
thing it's going to take some time but
once you've set it up and you maintain
it it's going to save you so much time
in the long run and it's also just going
to train your brain to think differently
it's just going to help you so much I
found it helps me a
lot okay so Google photos we talk about
that a lot in the course this one is
kind of interesting my Apple
notes I don't know about you at one
point I had like 3,000 notes and I went
through it took me like a couple weeks
to go through all them some of them were
just nothing it was just like one word
I'm like okay so I went through and I
organized all of my notes into folders
and now this is just like sometimes and
you can see I added one called list and
random for this one because I was just
like some of these I'm like I don't even
know what this note is I don't really
want to get rid of it but I don't really
want to figure out where it goes so I
just put some in the in the list random
but you can see even within Apple notes
you can have different all this
I like photography so if I moved all my
photos off my iPhone wa lose the ability
to convert live photos yeah we talk
about this in the course about some of
the compression stuff live photos I
think you can still utilize live photos
and Google photos pretty sure you can it
like it like uploads it as like a video
pretty sure it does that uh because I
have used live photos as well I and I
use an iPhone as well so I have an
iPhone and I have switched to using
Google photos almost exclusively I if
you look at my phone right now I have
how many I have 17 photos on my phone
because almost every day I go through
and I upload them to Google photos and
then I select the option that says free
up space and as long as everything's
uploaded it like deletes it from my
phone and then everything is in the
cloud I talk about this a lot in the
course because this is something that is
something that I have found Google
photos has so much better search than
almost any other app that I've used for
both videos and photos and so for me you
have 7,000 yeah that's what I'm saying
like I have gotten rid of if you look at
my phone right now I don't know if you
can see it I have this like blur on this
is all I have these are all the photos I
have and they're just because I haven't
updated them in the last like several
hours
so for
me I utilize Google photos because it's
so search friendly it's so easy to find
everything people are constantly like
how' you find that photo so fast this is
like something a lot of people know
about me they're like I could search
like a person's name name I could search
a a location because a lot of these
these uh photos are geotagged so for me
having every photo I've ever had in
Google photos literally every photo I've
scanned photos in I have home videos
from when I was a child that have been
converted I have every single thing is
there a way to share only a specific
folder yes there is you can share a
specific folder I do this all the time I
actually this is an example my brother
got married on Saturday I was a
bridesmaid I took probably $300 photos
that I wanted to share and what I did
was I created a folder in Google folders
I clicked the share button create a link
and then I texted it to people so they
could look in it you can also add people
in Google photos to the folder and then
they can actually add photos as well so
you can create like a shared folder
similar to what you can on iPhone I
don't know I'm obsessed with Google
photos I know it so well I use it all
the time it is absolutely I use Google
photos way more than I use notion even
though I teach notion more Google photos
is by far my favorite
app I don't know what I would do without
Google photos I use it so much it's
insane it is absolutely my favorite
doesn't your storage on Google photos
get easily full I pay for Google photos
so I pay for a terabyte of storage um
because I use it so much so for me it's
worth it because I use it so much um you
do only get a certain number of
gigabytes on Google um but I use a
terabyte and I'm almost I'm more than
halfway full which is sad but I have a
lot of I have a lot of footage
I also film videos for a living so I
have a ton of videos okay so this is
another example of something that you
can organize is Google Chrome browser
and that is something that you can have
with bookmarks so one of the things that
I've done is anytime I have a bookmark I
I just add it to my bookmark and then
later I will go in and like pop them
into the different folders which is
super helpful you can see it right here
on my screen I think you can see my my
thing you can see I have like dropped
down so for example like some of the
these aren't quite in it but like I've
got things like apps productivity email
marketing Facebook membership podcast PR
sales social media streaming videos
websites writing you could see I have
all of those folders within the folder
of content creation let me give another
example and if I have some of these
don't yeah like for example food Fitness
I've got that sort of thing some of
these might not be super organized
because I just kind of threw them in
there but again it's it it clears up my
my bookmarks bar so it's not just a
bunch of random bookmark links it's
organized by the pillars and this has
really really really helped me stay
organized with my computer and what's
cool about like Chrome and stuff is then
you can see it on your phone it's just
very organized in that way I talk about
this a lot in the course and I've done
some videos on this as well is applying
it to your
email I feel like I don't want to spoil
like a lot of the course one of the
biggest things I will say is getting
separate email accounts has been a
GameChanger for for me one of the things
that I did was I went in and created a
separate email just for
newsletters and this is what I walk
through in the
course with my newsletters I have so
anytime someone's like give me your
email I give them the newsletter email
and so then I have one email that's for
business and and friends and that sort
of thing and then I have one that's just
incoming emails from list that I'm on
this has helped organize so much I then
added filters with colors I've added um
I've added them into the little file
folders um based off of the 13 pillars
um and so when you look at my email over
on the left you'll see everything is
organized into these 13 pillars even
within my newsletter so for example I'm
following someone in the health and
fitness space I put them in under health
and fitness then they each get their own
name of the person they get their own
little subfolder so for example like
content creation I follow some like if I
was following Let me Give an example
like somebody that teaches camera
confidence I just followed a guy the
other day he teaches like how to be
better on camera I'd put him under
content creation and then make gave him
his own folder what do you think about
adding links to relevant notion pages
instead of storing bookmarks I mean I
save a lot of Articles from notion using
the notion web clippering bookmarks I
mean I don't always use the bookmark bar
it's usually just kind of like on Theo
and then eventually I will put those
links in notion as well eventually for
example like if I find like a cool AI
tool what I'll do is I'll like bookmark
it and then later on I'll add it to like
my AI Galler in notion which I have a
whole database of that so it's like
sometimes it's just like a temporary
save and I do eventually go through and
delete bookmarks that aren't important
anymore for sure you create a filter for
each new email that is true so I do that
every time a new email comes in that's
part of a newsletter I I create a filter
for it and that is a process that does
take some time and I teach that in the
in the the in the course um how to do
that how to set up a filter if you don't
know how to do that and then I kind of
add all that I noticed you combin
finance with personal admin so personal
admin that's actually the name that
August Bradley gave it and I I like the
name too because it's like anything to
do with like bills so like admin like
anything admin that has to do with like
money or Finance like like it's kind of
more like even things like you can even
put like passwords under like personal
admin Finance so it's like things that
you have to like track that are like
admin like it's like it's kind of like a
catchall word so it's kind of like
basically anything that has to do bills
Finance budgeting anything to do with
like almost like spreadsheets things
that are just like administrative tasks
that don't really fit into anything else
I would put under personal admin and
finance but I I just call it personal
admin Finance but it's mostly Finance I
would say mostly bills budgeting money
um taxes that sort of thing we are
coming to the end um we we still got
about 15 minutes so I have time for Q&A
I want to tell you guys about my new

returns somewhere yes um I'm putting
them well I have physical tax returns so
I I mean you can use this also in like
physical buy like binders or you can put
them in your if you have like a file
cabinet you could also organize it by
pillars so tax returns I would put also
under Finance as a pillar but for my
actual tax returns I just keep them
obviously in my house and organize it
that way so I wanted to tell you what

guys a couple of um notion I believe
actually actually it doesn't cover
notion much at all because I have all of
my notion stuff within my notion
foundations course so my notion
foundations course which you go to found
notion foundations.com it has all the
templates included in that so this one
is a little bit less notion based than
the other ones this one's more email
photos that sort of thing so a lot of
the notion stuff isn't in this course um
it's in the other one the course is live
or VOD it is VOD so it is similar to
it's it's pre-recorded so you can watch
the videos on your own time how often do
you go back through your bookmarks I I
mean I try to do it every once in a
while like again I they're not taking up
a lot of space and time in my life so if
I have time again that's the other thing
about maintenance um is like figuring
out if something is getting kind of you
know too much spend an hour or two going
through it and getting rid of stuff it
this is constantly going to happen
you're going to need to upkeep some of
this stuff this isn't just like you set
it up once and it's fine you're going to
have to M you know just maintain it like
you do your yard you know mowing your
yard you're going to have to go through
just depends on how often you do things
for me the one that I have to go through
a lot is my uh Google photos because I'm
constantly adding new photos so for
example I screenshot a lot of things and
I want to add them to the different
folders that they're part of and so some
days I'll I usually try to do it about
once a month um that's kind of my
average for whatever I'm doing with
email I have to keep it up a little bit
more so a couple times a week but it
just depends on what it is just the
upkeep and maintenance you but again
when you maintain it you'll actually see
that I have gotten to inbox zero many
times this year because I have
maintained my inbox I've separated out
all the the the the subscriptions into a
separate email that you can check
whenever you want I also don't send
those notifications to my phone so I've
turned off notifications for any
newsletter emails CU that distracts me
so the only emails that I'm getting
notifications on are important emails
coming from somebody that I know um
maintenance of anything is a struggle
for sure but sometimes it's kind of fun
sometimes you get into it and then you
just go through it and then you feel so
accomplished after okay I do not know
use notion at all I would recommend
checking out notion foundations um going
to my website um if you go to notion.

I've also got lots of templ templates um
you can buy the templates uh the so the

it's a pretty good deal do you pay for
canva okay you guys got a lot of
questions I do pay for canva I
personally have just used canva for
almost 10 years so I don't really want
to switch I've heard Adobe Express is
good I just pay $10 for canva kids
health info and medical records I would
put it in family because it's by kid so
some people have used so under like kids
you would put like you could put like
paneles whatever it is any to do with
your
children like I would put only your
health and fitness stuff under health
and fitness and only your personal
finance stuff anything to do with your
children I would put under family for
sure and then just have F so you could
almost create a 13 pillar system for
each child you could put their health
and fitness stuff so that's the other
thing about the pillars is you can
create a another pillar system within so
let's say let's say that the the
category is family and then you've got
children that specific child you can add
13 pillars so you could add their health
and fitness you could add their um
schoolwork whatever it is you can do the
same thing that way grocery shopping and
meal planning oh that would be under
health and fitness anything food related
is health and fitness even though it's
in the home I would put under health and
fitness I also have some great videos on
my YouTube channel about how I use
notion for organizing um uh groceries I
think that's great my biggest struggle
is that sometimes I want to search brows
by year okay okay so with travel I do
organize by year under travel I will put
like 2020 or like 2023 Los Angeles trip
so you could search that way as well but
it you know that the first folder you're
going to go to is travel and then you
can even probably see it by folder so
you could even have like the years in
folder so I have 2023 2022 then you open
2023 double click you've got that so for
me um and maybe I'll show you guys maybe
on Google photo phot to kind of make it
easier to understand um that's something
that I would do do you use the focus
option I don't know what that
means uh can you explain that is there
anything on the course showing examples
how to personally so Google Calendar I
don't okay so this is the issue I have
with Google Calendar now I do have
actually I don't know if I could show
this I do have the pillars in Google
Calendar but
unfortunately I use a lot of other apps
in addition to Google Calendar so it
always makes me um uh use the one
calendar uh so that I don't have
conflicts so I don't personally use
Google Calendar as much with pillars as
I do other apps unfortunately on the
iPhone Mac the focus option yeah I've
used that before um that's helpful to
get no notifications you can also this
is another thing I do personally is you
can schedule notifications to come at
certain times of the day so instead of
just getting emails every time an email
comes in you can schedule it like on the
hour um I should I mean that that's kind
of an almost another course in of itself
is like notification management because
I think that is something a lot of
people struggle with too therapy related
stuff would go under mental Clarity
because that has to do with your mental
let's see yes you can I can show well I
don't know if I can show it to you if
you are on an
iPhone go to okay let me actually I'm
GNA have to
uh currently I am I have a background
video let's see
okay see if you can see that better okay
so on the iPhone what you're going to do
is you're going to go to Notifications
make sure that you're on the newest
update you're going to go to something
called scheduled summary what I've done
is on the hour I have 8 o'clock 9
o'clock 11 o'clock 12 O'Clock 1 o'clock
3 5 7 I have turned that on and then it
sends me a scheduled summary and then
you can choose which apps you send that
scheduled summary to that is just
something so you can go through all your
apps and decide if you want it to be
either immediate delivery or scheduled
summary and most things the the biggest
thing you probably need a notification
on is maybe email and text everything
else I don't need a notification right
then it could be every hour and that
helps me stay focused I know I've talked
about this as well on my recent video I
have a lock box for my iPhone that
allows me to put my phone in and then
set it and turn it off and this can be
set for like 30 minutes and then you
cannot open this you can turn it so that
you have your phone facing it and you
can still like use it with the little
holes I choose to turn it over
completely so that I don't have any
option to use it but yeah so
notifications are another huge thing I
hope these tips are helpful uh like
another thing and I talked about this in
my oh you guys should watch my YouTube
video this week it's a really good one
um about ADHD
hacks having my Google and um calendar
synced with my Amazon Alexa has been a
game changer the reason why is 10
minutes before any event on my calendar
I get an audio alert that I have an
event coming up this is something that's
helpful for me if I'm like working on
something and I you know I don't want to
miss any meetings it like alerts me also
you can set up reminders on your and
it's nicer than having it on your phone
because it's loud and you can be in any
room in the house and you will hear it
um so if you don't have an Amazon Alexa
or Google home or something highly
recommend it if you have DHD because
it's going to remind you about things
that you're doing I will show you guys
let's see we've got about 7 minutes left

notion um let me show you email because
that um we got a ton of notion stuff oh
this is actually yeah notion okay I wish
I had enough time to go through
everything um the notion stuff is
available on my YouTube channel I don't
have as much about um Gmail so I'm going
to go through that real quick so you can
see here these are all the things that I
subscribe to I have 53 because I went
through this yesterday I have 53 emails
in the last day which is a lot how do
you use Alexa for notifications it's
actually within the Alexa app you have
to download the Alexa app and there's a
there's a reminder section and you can
set that up within the Alexa app on your
phone um I should do an updated video on
that because that is really helpful all
right so you can see here that all of
these have come in and they're already
filtered I talk about this more in the
course but over here on the leand side
you will see like for example I have a
folder for each individual person that
emails me that I'm on their newsletter
for so you can see with even within
content creation you could even go
further I think I even I don't know if I
do that but like you could go further
and like sort it by topic so it could be
like copywriting or uh social media if I
wanted to right now all I do is just put
the person's name and put them under the
main category which is content creation
for like health and fitness I think I
did Oran so I've got like lots of
different like I've got oh also uh under
health and fitness I would also include
like skincare with being subscribed to
things how do you not get overwhelmed um
I what I do I know this sounds crazy I
just like archive everything immediately
and then if so then what I use it I use
my my Gmail then for a search so it's
helpful if I'm looking for something or
if I'm like like for example uh I think
I showed this in the course like like if
you guys know who Rachel Peterson is
she's actually someone local that I know
but I can look over here and see how
often she's emailing people because that
helps me as a marketer to be like oh
okay she's sending one almost an email
every like three days one two three and
then she'll do one two three so it's
like almost every day she's sending an
email I'm obviously not going to read
all of her emails but if one like sticks
out to me I'll read it you know like so
let's just see how often do you email
your list and then she's got a bunch of
stuff I could search email list and it's
going to find every email that talks
about that topic where do you select
which emails you get notifications on
which emails you don't okay so on your
phone if you're using Gmail you can
actually go in and decide which account
you're getting notifications on because
it'll do all emails or none but what I
do on my phone is I've turned off the
option to have one of my email accounts
even just on my phone so that way I'm
not getting email notifications so
basically it'll every hour send you all
the notifications from the past hour um
unfortunately I don't think on iPhone
you can be like these are important
emails and these are not that is why I
have separate inboxes because everything
on my phone now is only important emails
from my main account um so again
sometimes I just like to be subscribed
to people so I don't forget their names
I know that sounds really crazy but like
I'm like oh it like kind of helps
solidify who people are in my my head
even if I don't read their email it like
kind of helps me be like oh I remember
that
person like it helps me in the future
and then if I wanted to I could guy he
has a Netflix show if you haven't
watched his Netflix show highly
recommend it but like if I'm like in one
day I'm like I really need to learn more
about Finance okay I'm going to go
through all of ramy's like newsletters
and see what he has written you know
that sort of thing hope we're getting
this whole recording yes

kind of an example of what I do for my
and again I talk about this way more in
the course um all sorts of thing I just
set up my mail again on my iPhone
because it allows me to VIP so that's
also helpful yeah you can use the mail
app um and not the Gmail app I still use
the Gmail app because that's what I use
but that's something to think about so
anyways we're coming up on the hour um
unfortunately I didn't have time to go
through notion today but I do have a ton
of notion stuff literally my entire
YouTube channel is just notion I would
highly recommend going to the one that
is the like highlighted one as well
because it talks about the uh it talks
about the pillars and then I think also
links to just some of my updated ones
with notion I have a ton again like I
mentioned I have a ton of notion stuff

notion foundations.com I've got free
notion resources I've got templates I've
got lots of stuff I've got my ADHD and
notion Facebook group if you're not in
that Facebook group um that link is on
the website as well um yes the templates
are hopefully good I try to keep them
updated I'm going to probably I'm also
going to probably go through my notion
foundations in the next couple months
and update it because again otion
changes a lot and I need to make sure
it's um consistently up to date thank
