at D World my name is Mel CL from arol
links and my colleague R and I we are
going to show you how arol link
integrates into dat content creation
process
today so my name is m CL I am the senior
technical account manager at arol links
I normally work with our existing
customers to help them integrate arol
links into their processes and into
their their technical organization
basically I've been working technical
documentation for over 20 years and have
been yeah with different vendors in this
field my colleague Al kunan is going to
join later to show you arings in uh am
guides he's the technical partner
Solutions consultant at
arings and he's been also a very long
time in Pre of arings
the speciality is that we want to show
you how the AI powered content
governance platform alings works
together with your data
content and as you all know data is
topic oriented and topics uh are
supposed to be self-contained but in the
output they appear next to each other so
that's then as some implications so
shouldn't all the topics that you write
use the same technical term terms for
components for products Etc that's
called
terminology shouldn't they all use the
same technical conventions something
like unit and measures like how you uh
write a work procedure don't use passive
and work procedures for instance
shouldn't they all use the same tone
some organizations want to be rather
friendly other want to be rather formal
and short in technical documentation
that's taste and there's reasons for
that but okay let's see and after all
the content created needs to be easy to
read because only if the content is
clear in writing your users will be able
to use your content efficiently and not
make mistakes that may lead lead to
damage or even somebody being
hurt we basically do that by having
different steps in the authoring
process we have a the so-called sidebar
that integrates directly into the
workplace am guides in this place but
also in let's say Adobe framemaker Adobe
in design and other tools that allows
authors to write uh their content and
directly correct all the formal issues
like spelling grammar grammar uh style
Etc
terminology we also have tools that uh
tag into the process so when something
is signed off it'll be automatically
scored by our coings and then the
writing manager can make a decision is
this good enough to be released or not
and we'll show that later also and then
uh this all flows into an analytics
database and that then helps you make
decisions about the overall quality of
your content but also gives you input
into uh opportunities to improve ours
even further like adding more
terminology perhaps activating
deactivating CC guidelines so this would
then lead to an improved cycle uh this
is not something you do every day but uh
we certainly suggest that you review
your aring setup let's say every couple
of
months there's normally many different
people writing product content is not
only the technical documentation people
that write product content there may be
support writers or support Personnel Etc
they all write content and it's not that
you alone on in the world of content
creation all those kind
of uh teams would best be using
something that like arings to control
their uh copy what they send out to the
end
customers and with arol links you can
basically have to assist assistance in
all those
process and we can also have something
like a traffic light in the process as
I've been been uh indicating before that
certain content cannot proceed to The
Next Step until it has reached a certain
quality
level that's probably accepted in the
tech do Arena that those kind of
processes exist if you have business
writers that just write occasionally or
need to shoot out content quickly like
support people the the kind of depth of
the process may be limited as we see it
here in this
diagram what are the effects of using
arings in all of those
processes the efficiency of the C
creation process will be increasing
without uh quality U uh
sacrifices so if for instance the
original author corrects and can correct
most of formal issues directly then the
reviewer can concentrate on subject
matter correctness and there will be
less rounds of review like Ping Pong uh
issues be being sent from the writer to
the reviewer reviewer sens back Etc so
that should re reduce the number of
review rounds and therefore make your uh
entire content creation process much
more
efficient you also can mitigate risk and
maintain control of the overall creation
process so in aing you can Define your
terminology and
messaging and you can then add quality
gates to your process either uh
automatic as we show uh talked about
earlier or manual that there are some
reviews in the
process and this will lead to less uh
Techni less uh language issues in your
content so terminology will be adhered
to Etc and that will then lead to better
content easier to read content less
having less U technical issues
also and uh many organizations have
style guides uh guidelines how they want
to write but if that's just a piece of
PDF or a piece of paper printed out and
sitting on the desk that doesn't help
providers really to adhere to that
arings is like an implementation of the
sty guides if it go if it comes to
linguistic issues and it gives then the
tools to all the writers in your
organization to really write content
that's in line with the uh procedures
and and with the tone that you want to
produce we now show you how that is
being implemented in uh Adobe experience
manager guides and that's something that
my colleague Ral will do in a moment so
uh we have as we said earlier the
sidebar the directly inte integrates
into the arol links process and we also
have a uh the arink course directly
attached to the topics so that you have
also a record of the
quality and you also have tools to then
see post publishing how the quality also
on there hello everybody I'm and today I
like to show you how arings integrates
into am
guide so most of our customers are not
starting from scratch so they are
already have a lot of documents in Adobe
am guides um a lot of deta Doc documents
with several topics and we generally
recommend to first get an overview of
all your content so that you know where
to focus with your editing
capacities so um I set up here a sample
project that you see here um it's a
project about or a d map about um an oil
change on a car and um so let's get an
over first so I switch here to the Adobe
um assets
UI and you see all the content here
again I select all the files that are in
in that folder or in that uh yeah and uh
click check for um the selected pages
with EOL links um here in the toolbar so
the content now gets checked and scored
you see here is uh the score column um
if I refresh you see that the status
changed to pening and um if I refresh
further you see that the check results
are um getting shown here and um so now
all content is scored um you see um some
yellow here you see also green you see
also number here and so the aing score
goes uh from 0 to 100
where um the lower part is red like a
traffic light um yellow for Content that
is starting to get okayish and green for
Content that is okay so um green starts
at 80 and um we usually consider um
content that is 880 um as good to go but
of course you can Define your own
standards and you can also um uh tweak
your uh digitalization of your content
style guide regarding your target market
or your target personas um we will see
how that works later and you can have uh
several um different targets that you
optimize your content for um so that
you're able to be very specific for
certain audience or certain um yeah uh
product or or something like that so um
looking at all these parts where to
start of course start with um the
content that needs the most Improvement
and in that case um we look at uh this
document here um it's feasible to pull
up an actual scorecard that's available
in all of our Integrations um it uh
directly shows an an overview uh over
your content it um shows all the issues
that acons found with the different gos
um like uh clarity like consistency
correctness inclusive language tone
words and phrases and uh all other goals
that you configure for that specific um
style guide and um so you already get a
good overview here and uh get also
recommendations uh what you should uh
change um but uh of course you want to
improve your content so we switch to the
addit mode here in uh am
guides and um so uh you see it's loaded
now in into the editor I pull up here in
um in the toolbar the acing sidebar and
check so that I get um Hands-On guidance
and how to improve and um for example
acing found here a contraction and
that's really kind of how I configured
the
um digitalization of a uh demo style
guide in that case for for that so I um
configured it in a way that I don't want
to have uh contradictions of course you
can also configure it the opposite way
around actl is there for making your
content consistent and being really
aligned to how you want to write so um
here you see uh the card that gives uh
to the writers and editors uh handson
guidance um what what to avoid you see
also um why that's the case uh you also
can click here on further information to
get a really detailed um description is
that is not sufficient here um and in a
lot of cases you also get a uh
suggestion that you can apply with one
click so I'm going to do that now and
click here you see it got automatically
replaced we automatically jump to the
next issue that is still um uh in place
and uh you see also here's a score um
that you've seen before I going to check
again and you see it's already improved
but um there are still issues in and I
uh going to correct uh that one as well
so you see here there is an issue that
um either this word should be um plural
or that uh word needs to be in uh kind
of the uh uh one that is uh for singular
work so you see AC provide both variant
of that so that I can uh now decide that
it's one vehicle which sit there I can
check again and um see that the content
get
approved so now um that I changed the
content I can uh save the content of
course there are more issues powered
here you see the score approved to 88 um
and uh there are more uh more detailed
feedback here like uh this um uh
paragraph is too complex so uh I get a
lot of guidance how I can improve it by
for example splitting up the
sentences um having uh too many uh
prepositions in in that sentence uh and
so on and so on so there are different
different aspect that all would uh
simplify the content for the readers so
that your content gets understood by
your
readers um for now I leave it like that
uh of course you can can or in the
production environment you should uh
focus on on a bit more um but for the
demo I keep it to that I save the file I
switch back to my um overview here and I
also score here
again and we now see that uh the score
gets updated here as well and see that
for my interre
publication my uh content is in a good
shape and I'm ready to good and good for
go for
publication so um if you look at
the um content supply chain then kind of
from um authoring it's covered by
pulling up the sidebar checking your
content while you're authoring um if you
look at uh the quality um before
publishing we can um use that as quality
gate so before I um hit the publish
button I check all my content and ensure
that the that it's good to go and that
no terms are in that I don't want to
have in but of course if you look at the
content supply chain um then um you
might want to do uh more like your
content um might be in a good shape
while while you published it but the
outside world change okay let's um have
a look how it looks if the outside world
changes so for example um you see uh
here um our digitalization of um the um
style guide um for a certain Target um
so in the ACT UI it's called Target and
um you can configure very fine granular
how you want to um uh align your content
uh with with your your goals so for
example you can configure how long your
sentence should should be in different
context like if it's in a list item or
in a normal sentence or in a title um
about uh for example uh which difficult
words you want to avoid or where to
allow you can also be very context
specific so to allow certain certain
things only in certain Fields so for
example if you have a uh field that is
for um further information or something
you can um make your your language uh
more complex there or if you look at uh
very easy steps you can also configure a
certain uh context to be more strict um
than than others and uh you can also or
you can also configure here the
difficulty of sentences um in range from
very simple to complex um and a lot more
phenomenas um and that's something where
aing comes with uh good standards a good
uh something we we recommend but it's
also something that uh during onboarding
with arings um our uh Services teams
will work with you to uh help you
digitalize your content style guide also
um a couple of our rules or a lot of our
rules also have the feature to be um
consistent for example with in uh your
your document so you can uh for example
either select um for a title um AP style
or style or you can decide to just be
consistent within in the document um of
course if you're in Deer environment as
you're usually working on a on a topic
level uh it most makes sense to to have
one style that you apply for all of your
detail content so that that you're free
in assembling and disassembling your
your content and putting it together how
your needs of your publication
is so you see also correctness inclusive
language and uh couple more in my sample
I going to add now a uh certain domain
um so I pre-prepared um a domain uh
called Automotive new so um pretending
that there's new um terminology for uh
for our use case and uh now akings asked
me for uh reloading uh the terminology
so I agreed to that and um I going to
switch back now here to the terminology
management of act Lings um that the UI
where can uh manage um actl to
technology and um I created some terms
here now so I said that automobile car
and vehicle belong together so they are
grouped see here uh this check marks
that they're grouped together those uh
line here represents that they belong
together and um automobile is unsuitable
car is preferred term and vehicle is
another unsuitable term and um that's
really kind of what could happen to you
um or with the Daily Business like um
someone in the company decides that a
certain um product gets renamed that the
company gets renamed that uh you're not
allowed to call uh a certain word or
certain thing like a certain word
anymore because du to legal reasons um
or other things maybe you realize that
um there's a lot of confusion for
example here oil filter R wrange is uh I
marked as the unsuitable and call The
Tool uh 7 831 just a random name but uh
to represent that uh if you have for
example customer a lot of customers cor
question what exactly that is you might
be able to specify it very very uh
detailed so that um that uh there's a
lot of clarity in in what you're right
um acing also like you see in the
brackets here uh is capable of um uh
checking for flacs other words so if you
would uh you would only need to add car
for it but it would also uh work with
cars so if there's cars um it would also
apply our suggest vehicles in that case
so that's uh also very uh yeah powerful
way that saves you a lot of time when
dealing with uh uh with
terminology so going back to to the
content I now uh select all of the stuff
here and I hit uh the eons button and I
uh going to refresh um the page and you
see that uh scores not updated and you
now also see that um a lot of those
topics that had been green before are um
now in a yellow State and I going to um
edit it uh again to see what what really
um really uh changed or what uh what
issues are appearing now and um you see
now that uh for example uh vle got uh
flagged and uh you also see that
vehicles in that case it's also phone um
and uh you also see that it uh Flags
again here um I'm able to tell applinks
to replace all recurrentes with one
click um so once I click here um vehicle
is replaced by car and in all
occurrences of that uh topic so um that
makes it very handy to align the uh the
content to the updated uh
terminology and uh same for oil filter
Ranch I'm able to uh apply the new um
suggestion here I check again and I see
that the score improved again but oh
AR's found another issue now it's um a
tool and not n tool so I um fix that as
well and uh now I'm good to go with my
content again uh so I going to save that
and of course in uh real word example
you would go back and also apply these
corrections to all other content that
needs Corrections the last part of our
demo is not really inside of aim guides
but beyond so what we've seen so far is
inside of am guides and um these are the
data topics that you're really editing
and uh where you have direct influence
but once you publish things um topics
get resolved um variables get resolved
uh you might deploy to several different
um yeah targets like uh content delivery
platform like am like a web server
whatever um so and and in those cases
there might be a menu be generated U
maybe there are JavaScript parts that
get resolved later um maybe there's some
legal statements that get added to all
of your pages um there might be another
header fooders that gets added to your
pages and all these things could
potentially not be aligned with your
Enterprise content style guide that we
checked so far with with it kind of the
real content so um what aklin offers for
that is is um AC content Cube and acin
content cube is part of the AC analytics
offering it's uh capable of scanning an
entire public web
page and uh you see for example here um
the ACX blog post that I that I checked
and uh I select the eons block post
because there are couple of special
things with that so it contains um for
example webinars where we do have uh
transcript of that that we cannot change
um so people set things and they're
they're there and even if they don't
align with our content sty guide anymore
uh we cannot change it um there are uh
blog posts about uh certain phenomenas
and we need to phrase those phenomenas
otherwise um we cannot talk about them
so we need to keep them on on that page
and so it's a very good uh place to um
kind of demonstrate how you get inside
into your content um of course you would
apply that to your um technical content
that uh you published and uh that helps
you really uh yeah dive into your
content and identify um the
um content on the documents that uh you
need to focus on um a lot of our
customers um start focusing on a certain
aspect um so they might have an
inclusivity initiative
and um so uh you see here the the
different gos and um I like to uh use
intrusive language in that case uh to
demonstrate uh what you see here is um
the acon score um so you see all the
content is either green or um or Yello
is uh on on that blog post so it's not
as bad um but if we look at certain
aspects for example inclusive language
then you seees that there are a couple
of red um yeah documents and uh I still
would have uh tough time to get all
through those uh documents and I
wouldn't like to have more guidance
where to start so and that's where um
actual performance data come into the
picture so um content cube is able to
connect to um analytics platforms uh for
example Adobe analytics and um so I can
pull in for example the
page views and that's what I going to do
here and now you see okay uh the good
thing the um documents that get accessed
frequently they are green but uh if you
look here there's a red one that uh is
bigger than than others and uh so that's
for inclusive language and Page shits so
I select that as um um candidate or uh
content that I would like to to improve
so I can uh just into that I see here
also the inclusive language is not as
bad um so we set very uh high goals here
so you see even with the U 90 uh3 uh
it's it's sh red here um that's
configurable for um for uh that view um
and uh you also see here with all
aspects of the content how it performs
so ideally of course it would be all
blue in that case uh but you see for
example there's Clarity bit correctness
a bit and tone and um so but in in that
Dem I like to uh focus on inclusive uh
language and uh you can see here for
example um directly that um what are the
issues and uh you see for example uh
that that phrase was used and um in
general should be used uh that phrase or
that suggestion that ACS provide you can
also get further guidance on these uh
guidelines um within acing and uh you
also have a link here to um to jump to
the actual content that is live out
there so that you see how the issues are
in in the real world and uh here you
already see kind of that um the content
uh that uh got uh flaged here really
talks about the issues and how you
should avoid them and what you should do
uh instead so uh that um yeah that's
also the reason why these inclusive
language issues are out there on the A's
website of course we're actually
addressing them and talking about them
um how to uh avoid them and how to
improve the content of your document and
that's also something that um people
would learn out of the usage of applinks
um by getting trained through the
sidebar um and improv their own writing
um looking at at uh that dator um
there's also a lot more that you can do
out of that so if you think about all AI
topics um that are out there where you
want to use your content for any AI
purpose like training an llm like using
that content to automatically answer um
customer questions you really want to
avoid that bad content goes into your um
AI system and is repeated and shown to
the users again so especially if you
think if you think about inclusive
language that would be probably
something that that is really could be
very harmful for for people and so you
you want to strictly avoid that but you
also want to make sure that um your AI
um provides output that is aligned with
your content style guide and that's
where where act links helps by
identifying that content and you can use
the aclink score as indicator for um
good content or content that you need to
improve and um yeah there's also another
AI offering that um akings has um on
current development and that's something
um Michael will talk uh about in a
minute thank you very much back to you
Michael thanks R for showing us our
links in uh am guides there's something
that we've just been adding to our
products well the process of adding to
our product at the very moment and that
I would like to explain last in our
presentation so uh that's basically
generative Ai and arol links arol has
always been an AI system we've been
around natural language processing for
22 years we've been adding machine
learning as an addition some years ago
but now generative AI offers us uh
additional possibilities that we are
going to use so we can with jange of AI
offer uh rewrites of complex sentences
or suggestions how to change those
sentences and that's a going to be a
major Game Changer I think for many
writers since those are very difficult
to fix for them generative AI is being
talked about a lot but many people have
concerns and that's about the
confidentiality of the data being
processed uh we are uh using a private
infrastructure so this is not just um
some some public tool uh where your data
is being being used for training of of
the generic models for instance the data
ownership is therefore clearly defined
it's your data not somebody else's data
and we're using a future proof
infrastructure that will allow us also
to grow this service over
time let me give you a short demo of
that so that's another edit tool that's
well known you see basically the sidebar
it looks quite similar here compared to
the one that you saw in the tool that
ral's been
showing let me make this a bit larger
perhaps and there are the sidebar cards
that you also saw before what we're
going to addit add now is basically this
guest suggestions button this will uh
take the sentence that's been been
highlighted send it over to to the large
language model and ask for a
rewrite the large language model uh uh
then uh sends back a sentence that's in
line with all the guidelines defined for
this target group and the writer can
directly replace the sentence from
here there's another one here so AR has
found out that this sentence over forign
bit lines is difficult to
read and uh that's what we all have been
doing for years it's difficult to read
because it's a long sentence because
there are propositions because there's a
parenthesis inside and there's a noun
cluster also but now the writer would
have had to rewrite this sentence into
something more readable and that's
something that very difficult to do and
here again the AI model receives the
sentence and it then sends back uh a
suggestion on how to replace this you
can also ask for suggestion if you like
so if you don't like the sentence here
so this is something that you can then
also iterate over and and see a couple
of suggestions of the
system we think that this is a major uh
Improvement of the system because now uh
fixing those complex linguistic things
are quite easy to
